Budget Control Quarterly in Dynamic AX

Hi expert,

Currently I am working with the budget control setup. The scenario is to control budget quarterly with following conditions:
a. Original budget for all quarters within a year will be registered at once.
b. If the budget from previous month within the same quarter is never been used, then it will be accumulated for the next month.
c. If the budget for previous quarter is never been used, then the budget could not be carried over to next quarter.

d. Department cannot spend budget for a quarter at once in a month.

Scenario example:
Budget Original registered for Department A in period 2018:
Q1 = $120
Q2 = $120
Q3 = $120
Q4 = $120

Monthly budget for Department A is $120 / 3 = $40.

Condition expected:

  • Department A cannot spend more than $120 in Q1.
  • If the budget for January 2018 (Q1) is never been used by Department A, so in February 2018 (Q1) the budget for Department A is become $80 (budget Jan + budget Feb). Also, if budget for January and February is never been used by Department A then in March 2018 budget for Department A become $120.
  • Department A cannot spend more than $40 in January 2018.
  • If the budget from Q1 (Jan - Mar) is never been used by Department A, then in Q2 the Department A budget remains $120.

Is it possible to setup in Dynamic AX 2012 for that kind of scenario?

    Dear Haryo Bergas,

    Generally speaking yes you can do this in AX, you can setup budget register entries for each month for the dimension you want and tell the system to block the transaction if the budget exceeds the monthly limit.

    Now at the end of each quarter you can check if the budget is used or no from Budget inquiries and reports, and then based on that transfer the amount to next month or no.

    Dear Kaled Alloud,

    Thanks for your answer. Did you mean that I have to do budget register entries for original budget per month? Can I do budget register entries for 12 months (Q1 to Q4) in advance?

    How about the setup? Currently in Budget Control Configuration I have set Budget control interval : Quarter, is it correct?

    From my setup, I still have problem with budget limit. I still can use next month budget in current month and if I never used Q1 budget I still can use it inQ2.

    Dear Haryo Bergas,

    1. You can do budget register entries for the entire year in advance for sure.

    2. If you set the budget control interval to Quarter then the system should control your budget on quarterly basis only; however, you need your control to be monthly based.

    3. Try to set Budget control interval to monthly and check the difference

    4. If you do not use a Budget set for a quarter you can create another line with negative amount for the same quarter and budget dimension.

    Dear,

    - if you monitor your expenses on monthly basis you guarantee that your monthly  budget wont be exceeded, and eventually your quarterly budget too.

    - Then at the end of each month and quarter, you will check your actuals, if the budget is not used you create another entry (budget revision) with negative amount for the current month and another entry for the next month with the same amount but positive sign.

    - you will do the same at the end of each quarter, if the budget is not used for the previous 3 months you can create a new entry having negative amounts for each previous month and positive amount for the new months.
