Inventory Items - Accounts Assignment Setup

The inventory items in my company are classified into several categories, such as; Chocolate, Biscuit, Juice ...etc. On the other hand, we have several sites (location), location A , Location B ..etc

Now when considering the options of assigning inventory item class into GL accounts, there are (theoretically) two scenarios:

1- GL accounts per Item Category.

This means that we have to create the following GL accounts for each category, as illustrated below:

  • Inventory Account - Chocolate
  • COGS - Chocolate
  • Sales Revenue - Chocolate
  • Sales Return - Chocolate

Same for Biscuit, Juice ... et.

This scenario can easily be achieved in Dynamics NAV, by assigning each category to specific posting account group.

2- GL accounts per Location

This means that we have to create the following GL accounts for each Location, as illustrated below:

  • Inventory Account - Location A
  • COGS - Location A
  • Sales Revenue - Location A
  • Sales Return - Location A

Same for location B, Location C ...etc.

My question is about this scenario, How can I achieve it in Dynamics NAV. considering the fact that an item can be sold from or received into several locations, and each time the accounts should be changed according to the location. Is this possible in Dynamics NAV or not. If Yes, how ?

    Hi

    For Inventory posting groups you can easily setup location wise Inventory.

    e.g. Location A  , Create inventory posting group as Invent_a  and

    GL inventory a/cs may be defined separately for locations.

    Now for COGS and  other general product posting groups.

    your Gen.Bus posting group will be same for a particular location.

    e.g. Location A

    Gen.Bus Posting Grp = Creditors_Dom

    under this you may define "Gen.Prod.Posting Grp"as

    "Purchase_LA" , COGS_A, etc....

    Make sure to have separate GL codes mapped.

    Likewise you can create for location B and so on...

    COGS account can be defined in Gen posting setup.

    One more question regarding the inventory posting group, where is the account ? Where should it be defined.

    Hi,

    Mapping of Inventory account falls under Inventory posting setup which is done with combination of Location & Inventory posting group and mapping of COGS, Sales Revenue, Sales return, etc. is done with Gen Posting Setup.

    Inventory Posting Setup:

    In your case the inventory posting groups can be Chocolate, Biscuit, Juice, etc. and location can be Location A, Location B, Location C, etc.

    Where we can define one G/L account for location & inventory posting group's combination. Please refer trailing table for more clarity:

    Location Inv. posting group Inventory Account
    Location A Chocolate  
    Location A Biscuit  
    Location A juice  
    Location B Chocolate  
    Location B Biscuit  
    Location B juice  
    Location C Chocolate  
    Location C Biscuit  
    Location C juice  

    So, you have to create G/L accounts for Inventory Account either per Inventory posting groups or per locations and then you can map them as above table in NAV.

    Gen Posting Setup:

    G/L accounts for COGS, Sales revenue & Sales return account can be defined in Gen Posting Setup.

    Gen posting setup consists of Gen Bus posting group & Gen Prod posting group.

    In you case Gen Prod Posting groups can be Chocolate, Biscuit, Juice, etc. and Gen Bus Posting groups can be defined based on required analysis to be done. E.g. Domestic, Export, Import, etc. based on types of businesses involved.

    Sames as Inventory posting setup, In combination of Gen Bus posting group & Gen Bus posting groups G/L Accounts can be defined. Here also you need to create G/L accounts for COGS, Sales & Sales credit either per Gen Bus posting group or per Gen Prod posting group and then you can map in NAV.

    Have you looked at Inventory Posting Setup, it is designed to setup with combination of Inventory Posting Group and Location.
