Workflow Process Update A Record Option List Field Not Saving

Hello,

I'm trying to create a realtime workflow to set a custom option set field's value. Upon Saving and closing the update process. It returns to null after next time I open it.

I've tried changing it to background flow as well. There's something with this specific field as Dynamic Values section does not work with it either. It's a global option list and used in another entity as well. Attached a video for better visualisation.



I set it and save and close.



I open it again and it's null:

    That's a strange one, not sure I've encountered it before. I would check on a few things to try and isolate where the problem might be arising. You may want to check the following:
     
    • Are you able to make updates to other fields in the workflow editor that are saved properly (even to a string or date field)?
      • This will help determine if the issue is specific to the option set fields
    • Are you able to make any changes to other option set fields in the workflow edit and have them save properly? Try with another custom field vs an Out of Box one?
      • This will help determine if it is specific to that one option column set or not
    • Are you able to try and make the change in a different browser entirely?
      • This can help determine if it is an issue of your browser
    • If you create a new workflow and only try to update that field, will it save properly?
     
    I know in the past I had seen strange behavior from browsers, often manifesting in strange ways and after what seemed like a minor and unrelated update. My guess is that this is browser related and not CRM specific, but the above tests should help narrow it down

    I understand that your current workflow is functioning in an unexpected way. Based on your described requirements, I suggest using a Business Rule (BR) instead of a workflow. Business Rules can be applied at the entity level, ensuring that the logic executes even if the form is not opened, making it a more reliable and efficient solution for your scenario.
    Here’s how you can configure the Business Rule to meet your needs:
     
    Steps to Implement the Business Rule:
    • Navigate to Power Apps:
    • Go to Power Apps > Solution > Create new one or work on existing one > Add existing Table and select the Quote entity.
    • Create a New Business Rule:
    • Click on Business Rules, then New Business Rule.
    • Define Conditions and Actions:
    • Add a condition: If Quote: Status equals "Won", then set the custom status to "Approved" (or any other desired value).
    • Add another condition: If Quote: Status equals "Active", then set the custom status to 'Gönderildi'.
    • Add another condition: If Quote: Status equals "Closed", then set the custom status to 'Kaybedildi'.
    • Activate the Rule:
    • Save and activate the business rule to ensure it applies across all records without needing form interaction.
    Alternative Approaches:
    If you require more complex logic, you can also consider using:
    • JavaScript: For more flexibility within the form itself.
    • Power Automate Flow: For automation across different entities and processes.

    I've managed to fix the issue by removing the field from the main form and adding it again. It was somehow bugged.
