What does the 'capacity' factor in work hours do?

Posted on by 14

Hi,

when defining a rule in a bookable resource's work calendar / work hours, a 'capacity' can be defined. I failed to find documentation on what this number does, and wanted to ask here about it.

What is the purpose of the 'capacity', and how is it intended to be used?

One hypothesis is that it acts as a factor that multiplies the specified hours, however that seems not to be the case:

It would seem natural that this integer value acts as a factor on top of the specified work hours in that rule. So in this example:

The resource is set to be working 9-17 equivalent to 8h/day. If the 'capacity' was then set to '2', the resource's capacity would double to 16h/day which can be useful if using a singe bookable resource to manage the working time of a team.

However, the schedule board does not show bookings in alignment with that assumption. Specifically, bookings exceeding 8h/day will be marked as red = over booked.

So it seems this hypothesis is wrong. Any other ideas or input?

    Hi Carl998,

indeed, there is no helpful explanation of the Capacity control in a bookable resource's work calendar in the Dynamics 365 Project Operations documentation available. The Capacity control is shortly explained as follows:
"Enable Capacity to define the number of times the resource can be booked during their work hours. For example, setting the capacity to 5 means that when booking a resource with the schedule assistant, the resource shows as available and can be overbooked up to the capacity limit (in this case, five times). It's set to 1 by default. Changing the value to 0 stops showing the resource as available in a resource search."

Due to best practices, the capacity should be set to 1.

If the Capacity control in a bookable resource's work calendar is disabled, the schedule assistant will not return the resource and all related components will be disabled, too.

    Rg,

    Alexander

*Due to the complex and different possibilities of deploying Dynamics 365 I highly recommend not to setup the application without some expert/partner or support. (For more information contact me under anassl@inno-solutions.info or visit www.inno-solutions.de)

I'm also trying to work out the point of that Capacity field! I can't find any helpful documentation other than from MS saying "set the required capacity value".

I first assumed that due to the default value being 1 that it's FTE (full time equivalent), but in the form you cannot enter a decimal so it can't be FTE. Is it hours? What's the point of that the working time already defines the hours per day?!

Interestingly in the data table it is a double so decimals are be supported via API, but that's not a serious option.
