View Only Forms for some users

Hi,

We need to make a set of forms viewable (no updates allowed) for certain users. They need access to the information, but do not need to (or want to) change anything. Does anyone know of an easy way to accomplish this?

Easier than creating a copy of the form then having to maintain two forms, or disabling all the form fields or enabling them based on the user or group they belong to.

    There are limited users with Dynamics GP (depending on the version), which are much more affordable than Full Users. They can only view data in GP and cannot change it. I can think of no easier approach to this problem.

    Have you looked at Field Level Security?  You can assign Fields on a screen to read only.   You can assign them to specific individuals or to a user class.  (If a user class, then the user would be assigned to the user class).

    Don't need to be a programmer to use the tool

    Thanks for the information on limited users, Harry. I did not realize that limited users are limited in that way. However, in our situation there may be users that have to not be limited because they need full access to certain parts of the system, while in other parts they would need view only access.  I think by limited user, that would mean they have view only access throughout, is that right or am I missing something.

    Thanks Mike.  We have looked at field security, but we have been told that it is not very easy to implement and maintain. In the scenario for this question though, I'd need preventing users from updating anything on certain entire forms not just a field. So basically they can view information just not make changes, while others will have permission to make changes.

    We are using VKonnact in our organization for Dynamics GP data View. VKonnact has same looks & Feels as Dynamics GP. VKonnact launched from desktop, so we are saving to buy user licenses of Microsoft Dynamics GP.

    While it may sound like I am pushing the Limited User angle, I am not. I might be inclined to restrict access to a full user to only those things they need to interact with. Then create a limited user for them to support their view only needs, as they are very inexpensive, and won't require adding a new tool/customization to your stack.  I user can stay logged into the same company as disparate users, at the same time in this manner.  Just a thought.

    If you only have a limited number of windows, then I find it pretty straightforward.  Assigning it to users is easy to and most easily done if using User Classes (no none uses them any more).   It's true that you need to create a rule for each field but Check out screenshots of 7 fields that are view only that I created in 7 minutes.  Rules RM003-RM009.  The trick is the naming convention. 

    By the way, I like Harry's answer as well.  But it will only work if those users that are limited do not have to enter data in other GP AP or GL or RM screens.

    Mike maybe I was misled as to the difficulty of maintaining Field level security. I will check this out also. Thanks for the examples to help illustrate this. Two good ideas to consider. Thanks Mike and Harry.
