"Legal Hold" "Freeze" on data within D365 F&O

Hi Community,
I'm looking for  a content for "Legal Hold" on data within D365 F&O.  Example - Soft Drink Company is being sued by government for unlawful pricing practice, and subpoenas all transactions with a Grocery Store that is on D365 F&O -- How does the Grocery Store "Freeze / Legal Hold" that data to ensure it does not get edited and can be shared with the appropriate legal entities?
Any similar scenarios or white paper?
Tks,
Maria

    Hi Maria,

Do you mean that the all the business should be held?

You can use data management to hold all vendors, customers and items.

Moved case to D365 finance forum: community.dynamics.com/.../dynamics-365-for-finance-and-operations-forum

    Thank you Mattguo,

The company will need to still operate - so restricting access can't be more than a momentary thing.  I believe it would need to be more of a snapshot of data that is taken, and then locked down somehow.  For example if the subpoena was for the previous 5 years of transactions between the company and the vendor...snap shot that - put it into a legal hold of some sort, and allow it to be searchable or provided to the legal entity asking for the data.

    Hi Maria,

I'm not sure if I understand the requirement correctly. Do you need e.g. a subset of the data for auditors to find out if something illegal was done?

You can export copy of the prod database and store it. Would that solve your business requirement? You can't "freeze" the live system and have it functional (users can record new transactions) at the same time.

But, in general it's not possible to delete old posted transactions from the system. So users can't "cook the books" of previous years.

What is the actual business requirement?

    Hello maria smith,

If this is something temporary can't you simply put all periods for this company on hold and do not allow users accessing this company e.g. with the help of XDS until the 'legal hold' is sorted out?

    Best regards,

    Ludwig
