Marking Contacts and Leads that have had bounced emails

My company is wanting to clean-up / target emails that have experienced bounces; however, as far as I can tell, we would need to manually go into each campaign we have to identify this list of individuals.

Is there a better way to generate the list of those individuals who have experienced a bounce?

Thanks!

    Hello bilboswaggins23,

You're right, manually checking each campaign for bounced email lists would be incredibly tedious and inefficient. Fortunately, Dynamics 365 Customer Insights - Journeys (CIJ) offers better ways to generate a list of individuals who have experienced bounces. Here's how you can approach this:

    1. Using Advanced Find (Recommended for Simplicity and Quick Results):

    • Concept:

      • Advanced Find allows you to query the email event data and filter for bounced emails.

    • Steps:

      1. Open Advanced Find:

        • Navigate to Advanced Find (the funnel icon in the top right).

      2. Select "Email Events":

        • In the "Look for:" dropdown, select "Email Events".

      3. Add Filters:

        • Add a filter for "Event Type" equals "Bounced".

        • Add any other filters to narrow down your results, such as:

          • "Created On" to specify a date range.
          • "Regarding (Contact)" if you want to filter for contacts.
          • "Regarding (Lead)" if you want to filter for leads.
          • "Email Message" if you want to filter for specific email messages.

        • Add any columns you want to see such as Contact, Email Address, and the reason for the bounce.

      4. View and Export Results:

        • Click "Results" to view the list of bounced emails.
        • You can then export the results to Excel for further analysis or list cleanup.

    • Advantages:

      • Simple and straightforward.
      • No code required.
      • Allows for flexible filtering.

    • Disadvantages:

      • Manual process.
      • May be slow for very large datasets.

      •

    2. Using Customer Insights - Journeys Segments (Recommended for Ongoing Targeting):

    • Concept:

      • Create a dynamic segment that targets contacts or leads who have experienced bounces.
      • This segment will automatically update as new bounce events occur.

    • Steps:

      1. Create a New Segment:

        • Navigate to "Segments" in Customer Insights - Journeys.
        • Create a new dynamic segment.

      2. Add a Behavior Block:

        • Add a "Behavior" block to the segment query.

      3. Configure the Behavior Block:

        • Select "Email Events" as the entity.
        • Set the "Event Type" to "Bounced".
        • Add any other relevant filters.

      4. Save and Go Live:

        • Save and go live with the segment.

      5. Use the Segment:

        • You can now use this segment in your journeys to exclude bounced contacts or leads.

    • Advantages:

      • Automated and dynamic.
      • Allows for ongoing targeting.
      • Can be used in journeys.

    • Disadvantages:

      • Requires understanding of segment building.

    •

    3. Power Automate (Recommended for Automation and Integration):

    • Concept:

      • Create a Power Automate flow to retrieve bounced email events and perform actions, such as:

        • Adding contacts or leads to a marketing list.
        • Updating a field on the contact or lead record.
        • Sending notifications.

    • Steps:

      1. Create a Flow:

        • Create a new automated cloud flow.

      2. Trigger:

        • Use a "Schedule" trigger or a "When a record is created" trigger for "Email Events".

      3. List Rows (Dataverse):

        • Use the "List rows" action from the Dataverse connector to retrieve bounced email events.
        • Filter the rows by "Event type" = "Bounced".

      4. Apply to Each:

        • Use an "Apply to each" loop to iterate through the retrieved events.

      5. Perform Actions:

        • Inside the loop, use Dataverse actions to perform the desired actions.

    • Advantages:

      • Highly flexible and customizable.
      • Allows for integration with other systems.
      • Can be automated.

    • Disadvantages:

      • Requires Power Automate knowledge.

      •

    Key Recommendations:

    • For quick, one-time list generation, Advanced Find is the simplest and most efficient.
    • For ongoing targeting and exclusion in journeys, use Customer Insights - Journeys segments.
    • For advanced automation and integration, use Power Automate.

    •

By using these methods, you can effectively generate and manage lists of bounced emails in Dynamics 365 Customer Insights - Journeys.
