Change SOP line cost on service item?

Posted on by 445

Our customer wants to turn off using non-inventory items on a SOP order.  So they want to setup a service item that the user would then update the description, price and cost on the line.  These are for custom items they would never stock, or it could be a service they provide which the cost would fluctuate.

When entering this service item on a SOP line, they cannot change the cost.  Get the message "You may not change the cost of an item".  How would they go about not using non-inventory but having some blank template type items where they do not want to track inventory but do want to be able to change the cost?

Any guidance is greatly appreciated!

Thanks,

Althea

RE: Change SOP line cost on service item?

    Hi Althea,

Costs on the Sales order processing entry window is more informational for items as it just defaults in based on the current cost on the Item card.  When depleting items and posting, that is when the "real" costs gets pulled (depending on what Item type you are using - example Sales Inventory).  So there isn't really an option to change that cost on the fly and it wouldn't necessarily change anything if you could.

For item types, the only options for NOT tracking quantities would be to use Service, Flat Fee, Misc or Kit.  Kit wouldn't be the right option as it has components.  Although Invoicing and Sales Order Processing will allow you to enter a quantity for miscellaneous, service, and flat fee items, no quantity information in Inventory Control will be tracked. So these would be the logical options.

However, Misc items don't track costs so that takes that option off the list. .

So that leaves Service or Flat fee.  For these types, costs can be entered for service and flat fee  (on Item Card), but when the items are sold in Invoicing or Sales Order Processing, the Cost of Goods Sold and Inventory accounts will not be affected as they are when selling a sales-inventory item.

Note: You must manually update current cost for both Service and Flat Fee Items.

Now, what that would mean in your case, is if you want a specific cost to be listed on the SOP document, you would have to manually change the cost on the item card BEFORE entering the item on the Sales Entry window.  I tested it and that works, but again it's a manual process.  The only way around it would be to customize the SOP entry to allow you to edit the Unit cost field.

    Hope this helps!
