Posted on by Microsoft Employee

How can we do the accounting distribution while generating Purchase Order or Invoice of a stocked items in AX2012R3? Currently it is not allowed to do the distribution of stocked item while creating PO or Invoice, only service type non stocked items can be distributed??

    Hi Mudassar,

While an accounting distribution is created for stocked items, it works differently than for non-stocked items or procurement categories.  You cannot split the accounting distribution, and you cannot edit the ledger account for the one accounting distribution that is created. If you want to edit the main account on the one distribution, you need to edit the Inventory posting setup.  If you want to edit the financial dimension values, you have to change them on the LINE'S financial dimension tab.

Why?  Inventory only supports tracking ONE set of financial dimensions for a stocked items.  Because of this restriction in inventory, we cannot allow the cost of the stocked item to be allocated to different ledger accounts.  This is even true if you try to setup an allocation rule on the main account.  The allocation rule will be ignored.

This is functionality we would like to support, but first we need some enhancements to inventory. For now the only work around is to have separate lines on the purchase order.

    Hi Mudassar Hassan,

    I see :-)

If this is your issue you can either make use of financial allocatio templates in the financial dimension tab or make use of allocation rules.

How this can be realized was posted recently in a related thread.

Please check community.dynamics.com/.../215805 and see if this resolves your issue.

    Best regards,

    Ludwig

Thanks Ludwig, but this is only for distribution of charges. What if I purchase a Server and want to allocate the cost to 2 cost centers, 50% each.

    Hi,

I did the allocation as follows; probably try if this works the same in your system:

    3122.po3.png

Enter charge at PO header level

    0407.po2.png

Allocate charge through allocate charge button

    3122.po3.png

    Result:

Also the service item gets a part of the charge allocated.

Would be great if you could have a look at this procedure and let us know if this resolves your issue.

    Best regards,

    Ludwig

    Hi Mudassar Hassan,

Unfortunately, we cannot see the attached Pictures.

Can you try attaching them once again by using the rich formatting form that can be accessed through the corresponding button right below the text box.

Sometimes copying & pasting does not work and you need to save the pictures first.

    Many thanks,

    Ludwig

    2. the second picture shows the accounting distribution form is not allowing me do the distributions
    3. the third picture shows the AX2012R3 version. It is CU 11

    Hi,

What is the exact AX2012 R3 version that you run (cu9/10...) and can you possibly post a screenprint that illustrates the problem?

    Many thanks,

    Ludwig

The PO is draft and I have the system administrator role and there are no role limitations, as I can do the accounting distribution for the services items

    Hi Mudassar Hassan,

What is the status or your PO?

Are you aware of any role limiations / modifications that have been implemented and do not allow you making any modifications?

    Ludwig
