Payroll deductions for new year

Posted on by 36

We are working on our open enrollment for the new year. We still have a payroll in Dec of 2020. Is there a way to enter the benefit deductions for 2021 before we close out payroll year 2020?

That would mean having a begin date and end date for the same benefit deduction and having payroll choose the 2020 deduction for 2020. The 2021 deductions would kick in when we do our first payroll in 2021.

Thanks for your help.

Thank you. Yes, it would be the same deduction code. The rates are changing. There is probably an easier way of changing this via SQL rather than going into each window and changing the selection i.e. Coverage changes, if someone goes from single to family or vice versa.

Thanks for the clarification, when you say the following:

Each employee's paycheck should have a deduction that is different than this year.

I assumed a new code, but you are not stating that, you are indicated to update existing codes.

What you need to do is once the payroll is completed for 2020

Go to the setup of code SinglePlanB

Change the 100 to 110 and when it prompts you to roll down say yes, then all employees that have this code will be changed.

I would go in and spot check a few.

Then you are ready to run payroll for 2021, rolling down from the setup does not take long.

    Thanks

So, we have new rates for health insurance premiums for 2021. Each employee's paycheck should have a deduction that is different than this year.

We cannot change the deduction rates for each of our paycodes till the final 2020 payroll is done with.

So, for example, if Paycode "SinglePlanB" was for $100 for 2020 and we changed it to deduct $110 right now in the beginning of December, the $110 would be deducted. We do not want that. We want the $100 deducted since that is what should be for plan year 2020.

The $110 deduction should begin when the first payroll of 2021 is run.

We want to load the new rates right now to save us time before the 1st check run for 2021 is done.

    Can this be achieved?

Above you are now talking about pay codes, do you mean changing the pay rate?  You can do that now with Post Dated Pay rates, this is under the card area.

    Thanks

Thank you but we still have one more payroll to go in December and we are still using the same paycode for deducting 2020 items. We want to use the same pay code for 2021 when we run the first payroll in 2021.

Yes, you can assign the deductions to the employee records now, just make sure the start date is correct.  When we run payroll we look at the build window and your pay period Dates from and too, if it falls prior or within that start date the deduction / benefit will be picked up for that payroll.  When you run the 2021 payroll verify your build and calculate report to make sure the deductions / benefits are included as they should.

    Thanks
