D365 Marketing -How to scan QR codes at event check-in?

Hello,

I would like to know the possibility of the below:

1. When sending an invitation for an event to a contact through the marketing module, is it possible to generate a QR code for each contact that is invited?

2. Would it be possible to scan the QR code of the attendee at event check-in to find out who the contact info is (Full name, phone number, etc.) and automatically create leads for them?

Can you elaborate on how we can achieve this? Are there any OOB functions included or will it need to be customized?

Any help is greatly appreciated.

Best regards,
EBMRay

    Hi partner,

It seems impossible. The QR code will only be generated after the user has registered for the event. Each registration record has a unique ID, which is encoded into a QR code that you can embed in the registration confirmation email sent to each registrant.

    Hi Leco Lv ,

I watched a video and it seems that it is possible to scan the QR code when the visitor arrives at the event using the marketing mobile app as below:

My next concern is how we send the QR code to the contact after the registration confirmation email?

Can you provide a simple example if it should be done through the customer journey?

    Awaiting your response.

    Thank you!

Hi EBMRay - yes this is part of the functionality of D365 Marketing. Hopefully this will help as a starting point. This shows to include a QR code when someone registers for your event. As Leco Lv stated, you would get a QR code if someone REGISTERS for the event, not to use for inviting someone to it:

    meganvwalker.com/.../

If someone then attends your event in person, someone with access to D365 would need to have the mobile app on their phone or tablet (learn.microsoft.com/.../install-dynamics-365-for-phones-and-tablets) and then open the Marketing App. Go to the Event and click to add a Check In record. From there (assuming you have given the app access to the camera on your phone/tablet, you would scan the QR Code from the attendees email.

When this is scanned, it links the Check In to the Event Registration record and marks them as attended.

    Hope this helps!

    Hello meganvwalker ,

Thank you so much for your reply and for providing your documentation.

I have understood the entire process from your amazing blog post.

If I want to send a feedback survey after the event, should I do so through the customer journey?

Lastly, if I want to thank all the attendees by email, that should also be done throughout the journey right? If so, what will be a condition that we should use inside?

    Appreciate your response.

    Best regards,

    EBMRay

    Hi partner,

A great option is to use customer journeys, through which you can send feedback survey emails.

You can create a dynamic segment to filter the leads who attended an event.

condition: Topic is the name of the registered event.

Hi EBMRay - glad it was helpful.

You would do all of that with Customer Journeys. Your approach would be dependent on if you are using Outbound Marketing or Real-time Marketing. For Outbound Marketing it might be a little more challenging to determine if someone actually attended or not, where as with Real-time Marketing you could use triggers to determine if someone had a 'Check-in' record created (where someone scanned the QR Code). But with Real-time you might need a partner or consultant to help you (unless you are pretty technical yourself).

Here are some more links that might help:

Using Real-time Marketing to send reminders and follow up emails: meganvwalker.com/.../

Outbound Marketing Event Series - meganvwalker.com/.../

For sending a survey, again, this depends on if you are using Real-time Marketing or Outbound Marketing.

Outbound Marketing and Customer Voice - meganvwalker.com/.../

Real-time Marketing and Customer Voice - I have written lots of posts on the subject, but this one from Amey Holden is probably the easiest to read through - www.ameyholden.com/.../customer-voice-survey-variables-dynamics-365-real-time-marketing

    Hope this all helps you.
