What is the best practice for downloading activity attachments?
    Hello Yosuke Yasui,
It seems you’re encountering challenges with downloading multiple files linked to sales activities. A recommended solution is to use SharePoint Security Sync by Inogic—an advanced app designed for secured file and storage management.
SharePoint Security Sync enables seamless integration between Dynamics 365 CRM and SharePoint, allowing easy migration of CRM attachments like sales activities which includes Email, Notes, letter, appointment, task, etc., and documents to SharePoint while replicating CRM's security model. This ensures that users maintain the same access rights on SharePoint as they have within CRM, preserving data integrity and confidentiality.
To address your needs, SharePoint Security Sync’s intuitive interface allows you to select and download multiple documents at once, as shown in the image below.

Additionally, with file level syncing it ensures that security privileges or the conditions applied by the manager per user on actions are maintained, allowing users to download documents only if they have the necessary permissions assigned to them. With Bulk Migration functionality, user can also migrate the CRM document from SharePoint in large volume.
Some standout features of SharePoint Security Sync:
    1. Intuitive Interface for document actions including upload, download, rename, create folder, copy link, etc.
    2. Security Templates for customizing access privileges for specific users or teams.
    3. Email Body and Attachment Migration from CRM to SharePoint.
    4. Custom Folder Structure creation within SharePoint to organize CRM documents and attachments, overcoming SharePoint’s 5,000-file limit.
    5. Metadata allows user to map the CRM data with SharePoint’s custom columns to improved searchability within SharePoint.
    5. Bulk Migration Job to manage large volume of CRM documents migration like Email, Notes, Attachments, Tasks, etc.
    6. …and More.

To experience the benefits of SharePoint Security Sync, start a 15-day trial on the Inogic website or download it from Microsoft AppSource. For assistance or a demo, feel free to contact us at crm@inogic.com

    Thanks,
    Sam

    Hi Yosuke,

The easiest way is the XrmToolBox tool, there are two plugins you can select:

    1) Bulk Attachment Manager

Plugin for XrmToolBox to bulk download attachments from notes or emails.

    2)Attachment Downloader:

Xrm ToolBox Plugin which download attachments files from any Data Verse table. Take fetch xml as input to filter out the records.
