How to Assign Only Sales + Limited Admin Permissions (Users/Roles/Profiles) in Business Central?

Hello Experts,

I’m trying to configure a permission set in Business Central for one specific user.
The requirement is to give them access to Sales-related tasks plus a few restricted Admin capabilities, without giving full SUPER permission.

Required Access:

Sales

  • Create Sales Price Master
  • Create Sales Orders
  • Post Delivery
  • Post sales Invoices

Limited Admin

  • Manage Users
  • Manage Roles
  • Manage Profiles
What I have tried:
  • I created a custom permission set for the Sales tasks — this works correctly.
  • For the Admin tasks, I attempted to use the Permission Recorder, but it didn’t capture all required permissions (especially for Users, Roles, Profiles).
  • I want to avoid assigning broad permissions like SUPER or D365 BASIC, which grant access to other modules (Finance, Purchase, etc.).
My Requirements:
  • The user should have only the permissions listed above.
  • They should not access other modules like Purchase, Finance, Warehouse, etc.
  • I need a reliable way to grant only the limited Admin functionality.
Questions:
  1. How can I correctly configure a permission set that allows only these restricted Admin tasks (Users / Roles / Profiles)?
  2. What is the best practice for assigning limited permissions for specific roles?
        For example, if I want to give a user only Purchase + Inventory permissions, should I:
        Record permissions manually using Permission Recorder? Clone standard permission sets and restrict them? Build a new custom permission set from scratch?

Any suggestions, guidance, or examples of recommended permission structure would be greatly appreciated.

    Hii there ,
    as per requirement you can assign a use specific permission to specific tables using permission sets , or using customization you can add booleans to handle editable, actions , other thing to manage which requires some sort of complex coding if you add some of trikey things to manage.

    To give a user access only to Sales tasks and limited Admin capabilities in Business Central without granting SUPER, the best approach is to create two custom permission sets: one for Sales (covering price master, orders, posting deliveries/invoices) and another for Admin (managing Users, Roles, Profiles).
     
    Avoid relying solely on the Permission Recorder since it misses system tables and indirect permissions; instead, manually add required tables like User, Access Control, Permission Set, Profile, and related pages, or clone a standard admin set and strip unnecessary permissions.
     
    For other roles (e.g., Purchase + Inventory), follow the same principle—clone and restrict or build from scratch for clarity and security.

    Give the user only these permission sets (edited):
     
    D365 USER MGT → manage users
     
    D365 PROFILE MGT → manage profiles
     
    D365 PERMISSION SET MGT → manage roles/permission sets
     
    Your custom Sales permission set
     
     
    Then open each set and exclude anything they shouldn’t access (Finance, Purchase, etc.).
    Best practice: copy an existing set → remove what you don’t want → add what’s missing manually.
    Do not rely on Permission Recorder for admin pages — it never records those fully.
