In D365 F&O, activities (e.g., tasks, appointments, emails) can be linked to prospects or other entities to track interactions.
Navigate to the Prospect Record:
Go to Sales and Marketing > Prospects > All Prospects.
Select the prospect you want to link activities to.
Create or Link an Activity:
On the prospect record, go to the Activities tab.
Click New Activity to create a new task, email, or appointment.
Alternatively, if the activity already exists, use the Add Existing Activity option to link it.
Ensure Proper Configuration:
Verify that the activity type (e.g., task, email) is correctly set up in the system.
Check that the activity is associated with the prospect by reviewing the Regarding field.
Save and Verify:
Save the activity and ensure it appears under the prospect’s Activities tab.
To receive email reminders for activities, you need to configure the system settings and ensure your user preferences are set correctly.
Enable Email Notifications:
Go to System Administration > Setup > Email Processing.
Ensure that email processing is configured correctly (SMTP settings, email templates, etc.).
Set Up Activity Reminders:
Navigate to Sales and Marketing > Setup > Activity Management > Activity Reminders.
Configure the reminder rules, such as when reminders should be sent (e.g., 15 minutes before the activity).
Check User Preferences:
Go to User Options (top-right corner > your profile > User Options).
Under the Preferences tab, ensure that email notifications for activities are enabled.
Test the Reminder:
Create a test activity with a reminder and verify that you receive the email notification.
Activities Not Linking to Prospects:
Ensure the Regarding field is populated with the prospect record.
Check if there are any filters or views hiding the activities.
Email Reminders Not Working:
Verify that the email processing batch job is running (go to System Administration > Inquiries > Batch Jobs).
Ensure your email address is correct in your user profile.
Permissions Issues:
Confirm that you have the necessary security roles to create and link activities.
Training: Consider taking a course on D365 F&O Sales and Marketing modules for deeper understanding.
