Switching Chart of Accounts to a New Chart of Accounts in a Live Environment

,I am working with a Client who has been live on AX2012 R3 for the last year and half with two companies.  They are in the process of preparing to bring on more companies to the AX platform this year.  As they prepare they revisited the two previous implementations and have identified areas needing improvements.  One of those areas was the Chart of accounts.  They want to revamp the COA and understand this would be a big effort.  My question to the group is, they do not want to bring on the new companies onto AX using the existing COA to then make the changes and having to re-train the users.  Is it even possible to implement the new companies on the New COA and then down the line change the two original companies to the New COA?

    Yes - you can select for each company what COA to use.

    The new companies can share the new COA and the existing companies can continue to use the existing one. For them change of COA will probably be best done on an end of a fiscal year as it makes it easier to migrate to a new company.

    One thing you can consider now, through it is a bit radical -

    Create the new COA as new accounts in the existing COA. That way you can move the existing companies to the new accounts without losing your historical data

    Hello Jhernandez,

    The new companies can have their own 'new COA' setup.

    For the existing companies, you cannot change the COA. You can only add new accounts and suspend the ones previously used.

    Thank you both for your response.  Do you think it is possible to change the existing companies to a new chart of accounts if we wait until year-end, create new companies for the existing companies and migrate the data over?  This way we could have them on the new COA?

    Sure, this is possible.

    The downside that you have to go through the effort of data migration, and that you lose having all your historical transactions in a single place.

    Hello Jhernandez,

    That is an option how to get a new COA applies for your existing companies but involves a lot of work to do that.

    If you do not shun the amount of work and time required doing that then you can go ahead with that.
