Option to Complete/Approve Workflow No Longer Available (AX 2012):

Hi All,

I am working with AX 2012 and we are having an issue with our workflows. They are initiated but can no longer be completed i.e. the only option for an action is to review history. At first I thought the issue was because of the way the workflow itself was setup but as I investigate it seems more related to the system configuration setup for workflows.

Looking at a workflow instance the option to approve, reject or delegate is not available to choose from after it is submitted so the tracking status remains “pending”. I checked the Workflow and all actions are enabled and there are no error messages.

When I right click on a workflow record and choose “Record info”, displayed is “Record information (1)”. I am given a record ID number and it says the following options are available:

Option 1 - “Rename the unique record key”

Option 2- “Display information about all the fields in this record”

From Option 2 if I choose “Database log” displayed is “Database log (1-dat) – Reference table ID: 0, No Record” the table information is empty but I receive a warning message reading:

“Changing company accounts to: DAT”

When I choose “Show all fields” from option 2 the “Workflow Tracking Status Table (1-dat)” is displayed and there are several fields that read “Unretreived”. These fields are:

Correlation ID:

Workflow Context Table Identifier:

User:

Subworkflow:

Type:

I have also seen a message that read “No form exists for workflow table”

To me this is indicating that there is a problem with the flow of information which could be the workflow execution account or the workflow infrastructure configuration. I’ve found information on how to setup workflows etc. which is said to be done prior to creating workflows.

I was hoping someone knew if I am on the right track and if so how would we go about updating/fixing the flow of information/configuration after the fact?

Thank You for any help you can provide,

RGIBB

For me it seems that workflow batch job is not running hence it remains in pending status.

Other things which you have explained seems to be fine as I can understand

Please confirm if workflow batch job is running or not.

    Hi RGIBB,

I agree with Nithesh. Check if the batch job is running, but also without errors. Check the batch job history as well. If there is no history it might be disabled for the batch job. On the batch job you can enable it again.

About the remark regarding to “No form exists for workflow table”: this does not indicate something is wrong with your workflow, but there is no menu item specified on this table to have a direct link like other records with 'View details'. This is because the workflows can be configured per module.

Thank you for your response Nitesh,

    Under…

System Admin > Batch job > Batch Job history

    and

System Admin > Batch job > Batch job

The batch jobs / workflows I am looking for are not there.

When I go into Work flow infrastructure configuration all options through the process are greyed out and at the end It says “Batch jobs running” for:

    Workflow message processing

    Workflow due date processing and

    Workflow line-item notifications

I do not see the review/approve workflows from our project management & accounting module. Do you know how I would get them running?

Thank you for your input Andre, and the info on "No form exists for workflow table".

The batch jobs for this review/approval workflow does not seem to be working. How would I go about enabling this specific workflow/batch job?

    Another question guys,

When I look at the information for the workflow items that are pending via Record info > Database log I receive an infolog message that says “Read the warning messages and take suitable action.” Then the Message reads “Changing company accounts to: dat” and “Changing company accounts to: dam” and I am not sure why? I know dam is our company and dat is company account data but can anyone shed some light on this?

Please check under Server configuration any one AOS instance is  specified as Batch server or not.

Because of this also Batch jobs will not process.

Please verify the setup at following path

System administration > Setup > System > Server configuration

Thank you for responding again Nitesh,

I checked the server configuration and the appropriate server was/is checked off as Batch Server and I have 4 batch server groups listed: Empty batch group, system alerts, data updates, and  workflow batch.

    Hi RGIBB,

Enable the server as batch server. You can also enable the batch groups in this server.

If you have multiple AOS machines you can divide the batch groups over several servers.

Everything seems to be setup properly re the AOS/Batch Server... I am still puzzled.

    Hi RGIBB,

For the unretrieved values you can check this blog from Dick Wenning: www.axstart.com/unretrieved-values-on-the-companyinfo-table-in-ax-2012r2. Try to apply this on your workflow table. Please be sure you have an additional backup of the database first.

The table browser in SQL itself will show you 'NULL' where AX then will show you 'Unretrieved'. These fields should be empty (most fields) or should contain zero (0) in case of an integer field.

Did you also check if the workflow tasks are not run into an error?

If this will not work, please create a summary or provide some screenshots with possible additional information.
