Workflow approvals using an iPhone or Android

If you were to setup workflow for AP, is there any way for the information to flow out to your cell phone and be able to grant approvals using your cell phone? Client wants to be able to remotely approve all workflow tasks.

    The best answer I can give would be yes and no.....

    If approving workflows via email links, as you mentioned via cell phone or even tablet, you'd be going through Web Services for Dynamics GP, which would require the approver to either be VPN'd or connected to the internal network where Dynamics GP and Web Services are installed, or have Web Services configured to use HTTPS/SSL via a external third-party certificate to allow external users to approve workflows via email.

    However, you mentioned iPhone, so I wanted to point to this blog and issue we've seen with Apple's Mail app and GMail removing the action links (Approve, Reject, Delegate) from the workflow emails:

    community.dynamics.com/.../microsoft-dynamics-gp-workflow-2-0-email-links-being-removed-from-email-notifications-sent-to-approvers

    So, yes it potentially should work, but no if you're running into this issue where the links are being removed from the emails themselves due to Apple Mail or GMail apps.

    Richard, you can definitely do it, as long as everything is set up correctly.

    1. Split brain DNS between the internal and external networks.

    2. Changing the default domain of all the users to be whateveryourdomainis.com instead of whateveryourdomainis.local in AD.

    (If the users are syncing to MS365 and Azure AD, then these would already be done)

    3. Web services set up with a third-party SSL certificate and HTTPS.

    4. Setting up external DNS to let web services resolve from the internet.

    5. Opening up the appropriate ports on the firewall.

    What Derek posted about the links being removed in the native mail apps on iPhone and Android, I have always trained the users to use the Outlook app. More features anyway and just a better experience.

    Tapping the approve or deny link on the phone just asks the user to sign in. If DNS and AD is set up correctly, they can just sign in with their email and password and then save it.

    Have had this set up since GP 2015 R2. No issues whatsoever.

    Joe, how long do you think it would take to set something like this up? Is it worth all the bother? How much would this cost?

    Hi Richard-

    I would probably say it would take up to a day to set up -- maybe a bit more, maybe a bit less. There's lots of pieces to configure and the correct DNS setup is really the biggest time suck.

    Biggest purchase cost would be the third-party SSL cert. I've always set up a wildcard certificate in the chance that something else is going to be hosted and need to be accessed over the Internet or through Teams -- SSRS, web services, OData. That is about $850 for two years, I think?

    If the users really want this and are pretty hell bent on doing things from a mobile device, then I would think it would be worth it. We're never going to get the GP workflow approvals in their own app or something like Approvals in Teams, so this is the next best thing.
