    Hello LC-03031125-0,

You've encountered a common behavior in Dynamics 365 Sales: once a quote is activated, it becomes read-only, preventing further modifications, including adding notes. This is by design to ensure the integrity of the finalized quote.

Here's why and what you can do:

Why You Can't Add Notes to an Activated Quote:

    • Quote Finalization:

      • Activation signifies that the quote is finalized and presented to the customer.
      • To maintain a clear and unalterable record of the agreed-upon terms, changes are restricted.

    • Audit Trail:

      • The read-only status helps maintain an audit trail, ensuring that there's a record of the quote as it was when it was activated.

    •

How to Add Notes and Related Information:

    1. Add Notes Before Activation:

      • The best practice is to add all necessary notes and related information before activating the quote.
      • This ensures that all relevant details are captured in the finalized document.

    2. Create a New Revision (Recommended):

      • If you need to add notes or make changes after activation, create a new revision of the quote.
      • This will create a new draft quote that you can modify, including adding notes.
      • This approach preserves the original activated quote while allowing you to update it.
      • To do this, on the activated quote, you should have the option to create a revision.

    3. Use Related Entities:

      • For post-activation information, consider using related entities:

        • Activities: Add activities (e.g., phone calls, tasks) to the quote to record interactions.
        • Custom Entities: If you need to track specific types of information, create custom entities and relate them to the quote.

    4. Internal Notes/Comments:

      • If you need to add internal comments that are not customer facing, then consider using a custom field on the quote entity.
