Sharepoint online Integration

I have enabled Sharepoint online integration with Dynamics.

It creates folder as and when I navigate to Documents Tab.

My question is how to create these folders for already existing Records in CRM. I do not want to navigate to each of the records and then click on Documents tab and then let CRM/Sharepoint create folder.

Is there any trigger which I could do programmatically so that folder will be created automatically?

OOTB the folders gets created as soon as the corresponding "Table" record gets created in CRM. To accomplish setting up of folders for existing records you might want to write a custom logic through Power Automate or something similar to perform following actions:

    1. Iterate through each of the existing records in CRM, for each valid record,
      1. create a corresponding SharePoint folder under the parent library
      2. Get the Document Location of the new folder
      3. Create a DocumentLocation record within Dynamics CE based on this Document location (you would have to set "Relative URL" field)
      4. Set "Regarding" on the Document Location to the existing CRM record

Perform the above for all valid records in CE.

When you click on Document/File tab, Dynamics CRM creates document location in Dynamics CRM and folder in SharePoint. If you want to do this for all existing record then you need to write custom logic for it. You can simply create windows app and run each record through the steps given below –

    • Retrieve those records that don’t have document locations
    • Then create SharePoint Folder by following the folder structure just like in Dynamics CRM
    • Then create Document location in Dynamics CRM. While doing this, update the relative URL and regarding filed by that record for which you have created document location

    Hope this helps!
