WorkFlow Issue - when user is removed from AX

Hi all, we have experienced this one to many times...for example we have groups defined in AX that are used to assign tasks from work flow (ex. travel and expense - finance approval group)...what we notice is that if a workflow has started when a specific user is apart of this USER GROUP and before the workflow completes the user leaves the organization and inactivated within AX (AD)...what happens now the workflow errors out stating users is not found...the way to correct this is remove the user from group and recall and resubmit so new workflow is created....seems a little tedious and there could be many items tied to that workflow....

any thoughts on the correct way to handle?

    Hi Ed,

    As part of inactivating a user, you could also extend the procedure to remove them form user groups.

    Have you looked at the option to assign tasks to workflow queues?

    hmmm workflow queues...I assume this doesn't assign a task directly to an individual but to a queue and user would be assigned to queue?

    One additional tip would be to check where the error is raised in the AX workflow engine, since the majority is available as source code in X++. It exposes the hierarchies and user assignments nicely, we have done heavy customizations in those areas in the past as well.

    Once you find the relevant logic, you could change the code to handle the error differently in case it finds a deactivated user account, i.e. by doing the steps you are currently doing manually in an automated fashion.

    Hi,

    Know this is quite an old post but we hit a similar issue and wanted to provide a solution that doesn't require recalling and resubmitting of the workflow.

    We have tested this for disabled users (v 10.0.9) but have not tested for disabled users that are part of a group of approvers. This will also not work if you delete users from AX.

    The fix is as follows

    1. Open System Administration > Users > Users

    2. Find the disabled user

    3. Click user actions

    4. Click workflow

    5. Setup delegation to an active user

    6. Resume the workflow (no need to recall)
