PTO Utility - Reset to Zero

We will be changing our PTO policies in a month or so.  When we are ready to cutover to the new policies, I thought I would use the PTO Utility to close the year and reset the vacation & sick time available to zero.  In a test company, I unchecked the options under the Carry Over Maximum section of the Employee PTO Maintenance window (the values were set to zero in the PTO00102).  I then ran the "Process PTO Year End".  Neither the Vacation or Sick Time Available was set to zero.  What did I miss here?  Is there a better way to reset it to zero?

Thank you.

RE: PTO Utility - Reset to Zero

    Hi Margi,

When I tested it, at first, the "Use PTO Utility" was not marked.  I marked it and it was available.  I then changed all the schedules to Not Allow Carryover.  Once that was done, I then ran the PTO Utility.  All of the employees that had vacation and sick time available, still had that time available after running the utility; nothing was zeroed out.  Is that not what it should have done?

RE: PTO Utility - Reset to Zero

    Hi,

Let me begin with an explanation of PTO Utility works and how this works.

Select Year End Closing using PTO Utility to separate the PTO Manager’s year end process from core Microsoft Dynamics GP Payroll year end process.

If the Year End Closing using PTO Utility option is NOT marked when the Payroll year is closed the user will be asked whether or not he/she wants to ‘apply carry over and reset PTO TYD Amounts”

    • If you click on “Continue”, carry overs will be applied and YTD amounts will be cleared from the Employee PTO Maintenance window
    • If you click “Cancel”, nothing is applied or cleared.

If the Year End Closing using PTO Utility option is marked, the PTO Utilities window becomes available (Microsoft Dynamics GP > Tools > Utilities > Payroll > PTO Utilities). This allow the users to run the PTO year end process separately from Payroll Year End.

I hope this information is helpful.
