How to create multiple fixed assets in one line in purchase order

Hello Experts!

I am new in this community and have a question on fixed asset.

My client is expecting to create multiple fixed asset numbers in one purchase order line. Let me explain you details of this requirement.

Suppose, I have created a line in PO for a service type item called Fixed asset and put the quantity as 10 with unit price 1000 for each. That means, when I post the product receipt for this line with 10 quantity, system should create 10 new fixed asset numbers at the same time in the fixed asset group what I selected in fixed asset tab in purchase order line.

I know this is possible to create 1 asset in 1 line in PO but how come 10 asset numbers will be created in 1 line at the same time?

I have tried with fixed asset splitting but that is not the requirement user is expecting. They want to create 10 new fixed asset numbers in PO when product receipt is posted. How to do that?

    Hello John P.,

    I think that you do not necessarily have to do a customization.

    Try the tools that we have available in the PowerPlatform especially Flow.

    With Flow you might be able to bridge this functional gap.

    I have not tried it for your scenario but it might be worth having a look at it.

    Do you have some experience with Flow?

    Also agreed with both of you and Ludwig that it may lead to major customization but practically I have no other choice.

    Sourav - I will check with developer if this is something we can do as you explained. Your explanation looks very simple but quite authentic as per my case but don't know about complexity in technical part of it.

    You are right but as I said, they want to record individual fixed asset rather than clubbing it to one asset. Ideally we should treat like that but this is not happening in this case.

    Hi John P.,

    If you get 30 chairs - even though each is expensive and costs a couple of thousand dollars - we have the accounting and tax rule or fiction of a combined fixed asset where we do not have to activate each single item but the whole 'thing' as one single fixed asset. Not sure if you have a similar regulation to circumvent this requirement ;-)

    Maybe dig deep into your accounting and tax regulations to find something similar :-)

    Thanks for the clarification.

    Yes; splitting functionality works based on percentage and not by fixed value basis in D365. And due to this, you cannot distribute equal amount in newly created fixed assets.

    Through standard, your requirement cannot be achieved as system always works based on one-to-one relation in this case. Means; even if you write 10 quantity in a PO line and do the full product receipt for that line, it will always create one fixed asset ID based on your selection of FA group in PO line level.

    What you can do is;

    1) If you check in FA parameter form, there is a tab available Allow multiple acquisitions. Set this to 'Yes'. Not quite sure whether this check mark actually allow multiple acquisition of fixed assets in one line in PO or it just validate acquisition of multiple assets in one single PO in different lines. You need to test this first.

    2) Create a new check box as Multiple fixed assets acquisition in purchase order line in 'Fixed assets' section. However, you can check whether the standard check mark 'New fixed asset' can be utilized or not. Else, do not touch the standard option and create this new option.

    3) Create a text area to display newly created fixed asset IDs as shown below. For example; List of new fixed asset IDs.

    No need to set this text box in editable mode as it will only display the newly created fixed asset IDs, same like what is there as 'Fixed asset number' which is standard.

    4) Now, there is a challenge in case if you do partial product receipt. Assume; out of 10 quantity, you are posting product receipt for 6 quantity for this PO line. That means; system should create 6 new fixed asset IDs. You have to follow the same standard process what records during partial receipt.

    However as Ludwig mentioned; this could lead you to do havoc customization in D365. Also; you need to check with your developer to find out if this could be feasible to do or not.

    I appreciate your concern.

    Unfortunately what you are suggesting, I had tried that too but no luck. Their vendor send them invoice for 30 chairs and in that invoice they do not show bifurcation of amount for each chair separately. Now client wants to record in the same way as it is in invoice and expecting to create similar number of assets from 1 line. This is the case.

    Can't you simply create 10 lines then if the split functionality is not acceptable?

    Personally, I would not make a system modification here because if you start making modifications for something 'small' as this you will end up with a ton of customizations and a highly modified system.

    My recommendation would be trying to talk to the customer and convincing them to use the standard application because you never know whether MS will make such a functionality available in the standard application with the next update. If this happens then your customer literally paid money for nothing.

    I know this might be difficult but try convincing them using the standard application that would be my recommendation.

    Yes this is already demonstrated to them. They understand this functionality. Why I am saying user is not accepting that because I cannot split the original fixed asset in a fixed amount basis which they don't want.

    Example - If my unit price is 1000 for 10 assets; that means, each and every new asset should carry 1000 value once the original asset is split. This cannot happen as it seems.

    One quick question. Why your client is not willing to use splitting functionality. Has it been demonstrated to them?

    If 'Yes'; what is the concern not to use it?
