Connect contact to multiple accounts

Hi All,

Is it not possible to assign a contact to multiple accounts within Dynamics 365?

If not, Is there a workaround at all? - We've got a customer on Dynamics 365 with multiple child companies but the contact needs to be on each account.

Thank You,

I have the same question (0)

RE: Connect contact to multiple accounts

    Hello AidanM,

In regards to your concern, there is OOB 1:N relationship between Contact & Account.

Field name is "Primary Contact" in Account entity.

There is also N:1 relationship between Contct & Account.

Field name is "Company" in contact entity.

    I hope it helps,

    Thanks.

RE: Connect contact to multiple accounts

    Hi AidanM,

Yes :- ) there is a workaround - but this depends on your business requirements.

    1. If you business requirement is to look up a multiple contact i.e. Mr. Steven Rock in the "Related" section "Contacts" on the Account (Company) form there is this workaround:

    https://community.dynamics.com/crm/f/microsoft-dynamics-crm-forum/127864/associating-a-contact-to-multiple-accounts

    2. If you business requirement is to be able to add Mr. Steven Rock to multiple Accounts (i.e. in a child hierarchy or to individual accounts) you can use "Connections".

With Connections you can connect a contact to multiple accounts and even better you can also add a "Connection Role" for each "Connection".
In Account A - Mr. Steven Rock can be Connected as a "decision maker" and in another Account B - he can be Connected as an "Influencer"
He could have roles like "Board Member", "Board Director", "Business Owner", "CEO", "CFO" etc.

The benefit using Connections and Connection Roles is that you can see the data from both (2) angles:

If you look up Account A you can go to "Connections" and see who is Connected to this account and their individual Connection Role.
If you look up Mr. Steven Rock and go to "Connections" you can see which Accounts (A+B+C+D) he is connected to and the individual Connection Role

I do hope this workaround will be beneficial to you and you are always welcome to add further comments.

    All the best

RE: Connect contact to multiple accounts

    Hi Aidan,

I would recommend you use Connection to link contact to multiple accounts.

Since Account and Contact already have 1:N and N:1 relationships, creating a new relationship may cause confusion between them.

The Connection has nothing to do with the relationship, and there is no quantitative limit, and its creation process is very convenient and clear.

Step 1. Create two Connection Roles.

Go to Settings > Business Management > Connection Roles,

    pastedimage1601608948506v2.png

One record type is Account. Then new a matching connection roles.

    pastedimage1601609416986v7.png

    Another record type is Contact.

    pastedimage1601609445149v8.png

Step 2. Create Connection for Contact and Accounts.

Go to Contact, click Connect button.

    pastedimage1601616763850v9.png

Then select Account in the Name field and select the new role in the As this role field. Save & Close.

    pastedimage1601616806969v10.png

To see this Connection, in the Contact form, click Related > Connections, we can see the Accounts with the "child companies" role.

    pastedimage1601617236621v11.png

    pastedimage1601617290980v12.png

At the same time, we can see the Contact with the "customer" role in the RelatedConnections of Account form.

    pastedimage1601617400666v13.png

    3. In addition, we can also add a sub-grid of Connection on the Account form and Contact form, the sub-grid shows the Connections whose role is "child companies" or "customer". In this case, we don't need to go to Related > Connections, we can just check the sub-grid.

So first create a Connection view, the filter is Role(To) and Role(From) equals the new roles.

    pastedimage1601618835009v14.png

Then insert a sub-grid in the Contact form, select Connections and the new view.
