msdynmkt_journeyinstance-Analytics & processstate-Analytics tables taking up too much space

I ran out of space and when I went to look at my capacity, these two tables were taking up most of it. I have turned off the Marketing effectiveness analytics (preview) under Feature Switches in MS Marketing, but the tables are still taking up space. Is there something else that needs to be done to clear these out? I have the temporary capacity increase, but that is only good for a month.

Thanks!

Richard

    Hello Richard,

You've correctly identified that the msevtmgt_analyticsformdata and msevtmgt_analyticsformmetadata tables are consuming significant storage capacity in your Dynamics 365 Marketing environment. Even after disabling the "Dynamics 365 Marketing effectiveness analytics (preview)" feature, the existing data remains.

Here's a comprehensive approach to clearing out this data and managing your storage:

    1. Understand the Data:

    • msevtmgt_analyticsformdata: This table stores the actual analytics data collected from marketing forms, including user interactions, submissions, and other tracking information.
    • msevtmgt_analyticsformmetadata: This table contains metadata about the analytics forms, such as form definitions, configurations, and related settings.

    •

    2. Immediate Actions:

    • Temporary Capacity Increase: Since you have a temporary capacity increase, use this time wisely to implement a permanent solution.
    • Communicate with Users: Inform your marketing team that analytics data will be cleared and that historical reports might be affected.

    •

    3. Data Deletion Strategies:

    • Bulk Deletion Jobs (Recommended):

      • This is the most effective way to remove large amounts of data.
      • Go to Settings > Data Management > Bulk Record Deletion.
      • Create a new bulk deletion job for each table (msevtmgt_analyticsformdata and msevtmgt_analyticsformmetadata).
      • Use advanced find to set the criteria for deletion.
        • You can delete all records or filter by date range if you want to retain recent data.
        • For msevtmgt_analyticsformdata, you can also filter by related form records if needed.
      • Schedule the job to run immediately or at a later time.
      • Monitor the job's progress.

      •
    • Power Automate (Microsoft Flow):

      • If you need more granular control over the deletion process, you can create a Power Automate flow.
      • Use the "List records" action to retrieve records from the tables.
      • Use the "Delete a record" action to delete the records.
      • Implement error handling and logging.
      • This is useful for more complex deletion logic, but Bulk Deletion Jobs are generally more efficient for large volumes of data.

      •
    • SQL Queries (If On-Premises or Dataverse Direct Access):

      • If you have on-premises Dynamics 365 or direct access to the Dataverse database, you can use SQL queries to delete the data.
      • Caution: This requires advanced technical skills and should be performed with extreme care to avoid data loss.
      • Always back up your database before running any SQL queries.

      •

    4. Prevention and Future Management:

    • Data Retention Policies:

      • Implement data retention policies to automatically delete old analytics data.
      • You can use bulk deletion jobs to automate this process.

      •
    • Regular Monitoring:

      • Regularly monitor your storage capacity and identify tables that are consuming excessive space.
      • Use the Dynamics 365 Administration Center to view storage usage.

      •
    • Feature Review:

      • Periodically review the features you are using in Dynamics 365 Marketing and disable any features that are not required.

      •
    • Data Export:

      • If you need to retain historical analytics data, consider exporting it to an external storage location (e.g., Azure Blob Storage).

      •
    • Check other Marketing Tables:

      • Many marketing tables can grow large. Check the event tables, and email interaction tables as well.

      •

    Important Considerations:

    • Data Loss: Deleting data is irreversible. Ensure you have a backup or have exported any data you need to retain.
    • Testing: Test your deletion process thoroughly in a non-production environment before implementing it in production.
    • Performance: Deleting large amounts of data can impact system performance. Schedule deletion jobs during off-peak hours.
    • Microsoft Support: If you have any concerns or encounter issues, contact Microsoft Support for assistance.

Thanks for the answer, but I think we had some confusion.

Those weren't actually the names of the files I put in here: msdynmkt_journeyinstance-Analytics & processstate-Analytics. I'm not even sure they are tables, to be honest, since they show up in the file section of capacity. I didn't see a way to delete that data in a bulk deletion job, either.
