Customer Assets - Data Import

Posted on by 15

I am on D365 Online and I am trying to Import existing assets. How do I fill out the parent asset from the import template if we have multiple assets with the same Name? If I would do it one by one in the system, in the Parent asset lookup field I would show another custom field like location or something like that.

I am curious if anyone has the same situation and what workaround path did they choose. Thank you.

    1) No serial numbers, so do I have to make them unique in the assets library or unique per customer? I think in the assets library (specially considering point 3), but I am looking to confirm this.

    1) You can have assets with the same name, but you are right you will have to differentiate the assets with the same name, do the assets have any serial numbers? This is a good way of making them unique, if not then maybe adding a extra number at the end of each duplicate asset? E.g. Asset0001-1, Asset0001-2 etc..

    2) You can overwrite Microsofts convert to asset name mapping by adding your own one isntead?

    3) When importing the name you are looking up must be unique or the import wont know what record to update.

Maybe I am not understanding completely how assets work...

This is what I learned, please correct me if I am wrong:

    1. We can have assets that have the same Name - for example if we use the part number for the field Name then a customer can have multiple assets with the same Name (how do I differentiate those? My idea was to use custom fields)

    2.  For Products - if we use the part number for the Product ID and Name fields, then when a product becomes "used" and turns into an asset  (Product Name is mapped to the Customer Asset Name, so Customer Asset Name would be the part number)

For Data Import the Name does not have to be unique, does it? The GUIDs are. But when I want to specify the Parent Asset, I have to put in one of the customer assets with the same name, so it is impossible to identify/differentiate them in the csv unless I have a unique name....

Would you just allow duplicates when you go through the import process?
