Error when undo Posted Sales Shipment

Posted on by Microsoft Employee

Scenario:

A sales order has been shipped (not invoiced). After discovering a mistake in the sales order, we want to undo the Posted Sales Shipment.

Unable to undo the receipt due to error appearing for two cases described below.

1) when the item in question has serial no. tracking the following error occurs:

The Item Ledger Entry already exists. Identification fields and values: Entry No.= XXX

2) When the item in question does not have serial no. tracking the following error occurs:

The tracking specification does not exist. Identification fields and values: Entry No.= XXX

Settings:

Location has "require receive", "require shipment" and "require bin" ticked.

I have read in previous posts that it is not possible to undo a sales shipment when "require pick" is ticked. This is not the case here.

Is it possible to undo the Posted Sales Shipment with the settings listed above?

Thanks in advance!

Undo Shipment will work without issue.

As far as your two errors it is easily understood that the

1."when the item in question has serial no. tracking the following error occurs:

The Item Ledger Entry already exists. Identification fields and values: Entry No.= XXX"

Ans: NAV will allow to have only one Qty of an item with an serial in stock. So after shipment it looks like you have either produced same item with same serial no or added stock. So while making Undo Shipment system with throwing the error.

2."When the item in question does not have serial no. tracking the following error occurs:

The tracking specification does not exist. Identification fields and values: Entry No.= XXX"

Ans: Normally this will work. It looks like you have changed the Item Tracking in Item master (which is normally not allowed by NAV after posting of any Item Ledger Entries) or a customization issue.

If its a customization issue Error 1 could also have the be of same issue.

Only if require Pick or Put is enabled in Location you may have to delete the Pick or Put lines to undo warehouse shipment. So this is not required.

    Hi maneesha,

That's certainly a possibility, we have done that before, but I want to know why the undo shipment creates an error.

If you use sales credit memo or sales return, the status of the initial sales order will stay on "shipped", which leaves that particular sales order unusable. I know that invoicing the sales order with no value is a possibility, but as the sales department can make mistakes, we want to be able to easily undo the shipment to make changes in the sales order (change currency for example).

Are you going to reverse it through

Sales Credit memo or Sales return  ?
