Automatic Record Creation Rules deactivated

Posted on by 115

Hi Experts,

I have a tricky situation. I have configured Automatic record creation rules on Receiving an Email. I did all the required settings and everything is working fine. Now my main concerns is, if we deactivate the Automatic record creation for sometime  and during this period if a mail is received then it will definately not trigger my Rule. But if i want to trigger rule for such records then how should we do it?

As per Microsoft docs, "Developers can also apply rules retroactively to the incoming records that might have been skipped while a rule was edited". But how to do it there is no proper explanation. Is it like calling an Ondemand workflow or something?

i find this answer from --d365goddess.com/.../. is it going to work?

Q: What do you need to do if you want to connect an existing mailbox with emails?

A: If you want these emails to be processed just like a new email would be, there are some steps you need to take. On the mailbox entity there is an out of the box field that isn’t visible on the form called ‘Process Email Received After’, so you’ll have to put it on the form first. This field allows you to pick a date from when you want to start syncing the emails into Dynamics 365. After you entered a date and saved the mailbox, you’ll need to approve and test and enable the mailbox. Keep in mind only emails that are marked as ‘unread’ will be processed.

    thank you Manoj.

But i have same scenario where is in the actual power flow they used retrieve some required crm records to populate them in lead creation. but where as in On- demand workflow we have to go for custom workflow to perform such retrieve or some formula functions to extract first name from email address.

We are looking for something programmatically run the same rule on set of existing records.

    Hi Sourav Pal,

You can create an On-demand workflow in this you need to add the steps similar as you have added in the rule for the record creation.

To Create an on-Demand Workflow check the below steps:-

    1. Navigate to the settings.. From the settings menu select process.

2.Click on New Button from the ribbon menu. It will open an pop-up window and will ask Entity name , Workflow Name. Click on OK.

3.After clicking on OK. it will open an different window. where you need to add the condition for the record creation. And check the "AS on-demand Process". So after all of the condition added your workflow will look like below.

    4. Click on the Activate button from the menu.

5.Now you need to navigate to the your email activity. as we have created an on demand workflow you need to select the email message --> From the ribbon click on the Flow button --> and under the menu you will find the our process--> By simply clicking on the process our process will execute.
