D365 - Overage Storage Pricing - $ per GB?

We run Dynamics 365 Finance and I'm an admin of the platform.

We have 31 Dynamics 365 Finance user licenses, and our partner informed us that we are using storage on the order of 4.1 Terabytes of Database.

According to the Dynamics 365 Licensing Guide PDF : we take 31 and multiple by 10GB so we should have 310 GBs of Database storage Included?

Here's my question: Our partner informed us that the price per GB for storage is $9.95, but then I read the price has increased to $40 per GB (Dynamics 365 CRM/CDS Storage Pricing & Enforcement - sa.global (dynamicconsulting.com)
/This data is at the heart of your Dynamics 365 environment, and Microsoft is pricing as such, charging $40 per GB per month if you need more than the base entitlement./

So is Microsoft (via our partner) really telling us we have to pay: (4,100GB - 3,10GBs =  3,790 GBs x $40) $151,600 a month (a month!?!?!) or $1,819,200 a year for database storage capacity?

We figured the pricing would be in line with Dynamics 365 Storage pricing of $5 per GB per month ($18,950) or $227,400 a year.

With 4.1 TB of data storage what happens when we hit the 5TB limit?
  • How can DB storage cost $40 per GB for Dynamics 365 finance when Dynamics 365 Storage is $5/GB/month? What's going on here---why the difference?!?!
  • How can we move our Dynamics 365 Finance data from the $40/GB to the $5/GB storage tier, I've got $1,591,800 reasons to find out how to move this data. There is zero way we can afford $1,819,200 a year for database storage capacity.
  • Is there a way to move to SharePoint database storage? SharePoint is much cheaper at around $0.20 USD/GB for every extra GB of storage.
My boss was expecting $.50-$2 per GB to be honest and our departments budget for the line item is 75k for the year ($180x31x12).

FI - SharePoint is for Unstructured data File Storage. it Costs 0.2 Per GB/month. So it easy to store files in SPO and reference them from else where. CRM FinOps D365 is more geared toward structured data tables and rows. Just because you can store Files in DataVerse doesnt mean that you should do that. For small implmentations its ok if this is Government or Large Enterprise you should plan to use SPO for File Storage if at all possible. This given how easy it it now in the Power Platform to save and Retrieve Files is generally developer laziness if there are a lot of Files being stored in Dataverse.

Thank you for sharing your experience. While helpful, I am looking for practical steps I can take. I've sent emails to several email addresses at Microsoft but i have not heard back from anyone, so how does one go about obtaining a matching price to Dynamics 365 Storage our partner provider isn't aware of a way to go about getting this. Any tips or practical steps would be most helpful.

On the misconfiguration of the system, our internal dynamics admin team states that all best practices and the best practices analyzer shows no issues, how might we diagnosis the issues that might be causing the space to run out?

How can DB storage cost $40 per GB for Dynamics 365 finance when Dynamics 365 Storage is $5/GB/month? What's going on here---why the difference?!?!
Answer: It's indefensible that Microsoft tries to charge 8x or even 4x the cost of Dynamics 365 Storage. Dynamics 365 Storage is ***Azure SQL***, you read that right, Dynamics 365 Finance is using Azure SQL under its cover...however Microsoft is marketing this to Dynamics customers as " Microsoft Dataverse", same technology, different marketing moniker, super high price, I guess. Keep the customers confused, guessing, and obfuscate to make more margin (it was $5 before 2020 and was increased to $40 for no explanation)?

What we did last year and I recommend you do, is 1) push back to your Microsoft account rep/support rep/MSP and simply ask for a matching price of Dynamics 365 Storage, that's what we did and "magically" after COUNTLESS back and forth emails with an NEVER-ENDING series of new/inexperienced account reps at Micrsoft who had. and I'm not kidding, next to ZERO understanding of what storage was being used for or what we were trying to purchase (no we aren't looking to move SQL to the cloud, thanks we are already in a cloud, Dynamics what's that? Oh let me sell you some Azure SQL)...our MSP was finally able to get an invoice at a $5/GB/month price point. It literally PAYS to ask for a rational explanation or for a matching price, and guess what, you'll be able to get a competitive price.

Be prepared, be persistent, and do your homework.

Is there a way to move to SharePoint database storage?
You CANNOT move to SharePoint database storage, and you don't want too (SharePoint is a mess so good luck if you try). You can and should work to move to Azure SQL database storage, you'll save a lot of money and you'll be able to take advantage of native Azure integrations that dynamics partners like to re-bundle and charge eye-watering prices for!

I'd seriously recommend you look into is how you got into a situation where you need 4.1 Terabytes of Database?
You might want to look into this and have someone technical review what's going on, do you have like daily backups being replicated? Seems like a total misconfiguration of the system to get to that when you have ~310 GBs of license capacity. I didn't even know you could/(can you?) exceed your limits like that. Sounds like something isn't working as it's supposed to, a bug or misconfiguration.
