many customers using D365FO as ERP system additionally have a 3rd party "archive system" for business documents such as AP and AR invoices. Here in Germany those documents are part of the accounts, along with all the transaction data. Many customers percieve having a dedicated 3rd party archive system as a legal obligation.
Providers of such archive systems often sell with the point of being "certified". However to my knowledge the relevant legal framework (GoBD) does not put any value on certifications, nor does the government certify anything. Certifications in this respect are basically an outside expert opinion, provided by industry groups for industry members. What matters to the company using D365, there's an auditor who looks at the data, the documents and the documented processes of the company and signs off the accounting for a given fiscal year, for that particular company or set of companies.
Against this background, I suspect that you could ditch any pre-existing 3rd party archival solutions and instead use the native tools for storing documents in D365FO, being Attachments (DB blob, SP/Azure file) or Print archive.
Why do this? To simplify your system landscape, get rid of fiddly integrations and thus make your financial system even more transparent. Plus testing gets easier. You might even save a few bucks.
My questions:
1. am I on the right path here at all?
2. has anyone here any experience in convincing a customer the archive in D365FO directly?
3. which D365FO functionality is the best for providing auditable, persistent document archive, that is easy to feed through the daily processes?
4. any other thoughts on the matter?
I'm sorry for any document archival ISVs here that I might displease with this post.
