Ledger Allocations Rules year to date vs month to date

We have created a number of allocation rules.

The "ledger allocation basis" for the some of the allocations is the sales account across the financial dimension department.  I am seeing two issues:

1) When I do the  process allocation request my understanding is that the allocation will allocate what is in the source and start from the last allocation date.  So if the allocation date is June 30, 2020 and the last time the allocation was run and posted was May 31 2020 then I am assuming the allocation will be for the contents of the source for the month of June 2020.

Does this make sense?  I appear to be getting year to date allocations.

2) The second question / issue is about the allocation basis.  If the basis (as mentioned is sales) and you run it on June 30 2020 will the sales be month to date or year to date?

Thanks Mike A

    Hello Mike A,

For No 1: I would expect that you have a period code such as CP (current period), PP (previous period), etc. setup in the allocation rule. If this is not the case then you might get amounts other than the ones you expect posted.

For No 2: This also depends on the period code that you select in the allocation rule. Please double check your configuration.

    Best regards,

    Ludwig

    Hi Mike,

1.As Ludwig mentioned, if you do not specify the date interval in allocation rule, system will calculate the balance of source account/dimension( Year to date).

2.The basis is controlled by the date interval in allocation basis. The date interval in allocation rule does not affect it.

    HI,

Dates for allocation rules are always considered based on "Date interval code" defined at allocation rule. So, for example : you want to run the allocation only for current month without considering opening balance of month, then create "Date interval Code" with Current month date and assign it to rule.

    Mattguo and Ludwick

Thank you both for the explanation re date internal codes for both the allocation source and basis.

    I am reviewing them.

One additional question that has come up in this allocation process is how we define the credit to the source.  Or in D365 is the offset dimension from the source or user defined - see below.

My initial intention was to have the credit go to an offset account so I did not lose the integrity of the original expense account debits - see example below.  But when I did the allocation request I was having issues.  The data was just wrong and it may have been to do with the above mentioned date intervals which I will check.

My question is simple does D365 support using the offset dimension from user defined where that user defined = an allocation account.  In my example below you can see allocation 1 and allocation 2.  Allocation 2 is where there is a credit in the source to an actual allocation account.

Form you experience do you find clients prefer allocation method 1 or 2.

    Thanks Mike A

    Hi Mike,

That depends on your client requirement.

In my country, accountant use "source" to transfer the account balance at the end of month.

The question is can D365 do both methods of allocation from source and user defined?

    Thanks Mike

    Hi Mike,

My personal preference is version 2 where you have a specific dedicated 'user specified' account and keep the full traceability of the original postings.

Otherwise, that is in version 1, you will lose the 'history' of what was originally posted.

    Best regards,

    Ludwig

    Thanks Ludwig and I agree...

The issue I was having has been resolved sing the date interval functionality (current month)  for both the basis and the source.

    Thanks for you assistance.  Mike

    Good morning Mike,

Have you been able to get your issue resolved then or is there anything else the community can help you with?

    Best regards,

    Ludwig

    Hi Ludwig,

I was able to resolved all the issues.

Thanks you for you assistance much appreciated!

One last question if I may.  When I set the date interval to CP (current period) on a allocation I noticed it does not matter what date I put on the "as of date" field when I run the process allocation request it will take the allocation for the entire month.

In other words June 3 and June 30 2020 produce the same effect on the allocation.

Can you confirm this is the correct understanding please.

    Thanks Mike
