BPF not showing by default on existing records

Hello,

I've created a custom BPF which I'd like to set as the default for Leads. I deactivated the old BPF, set up the security roles on the new BPF, made sure it was at the top of the order list and also added it to the model-driven app.

It will show as default when creating a new Lead, but all my old Leads aren't showing a BPF at all. I have to manually go to the "Process" button and select it from the list. It's the only BPF showing on the list, though, so I don't understand why it doesn't just show it by default, which is what I want.

    I believe that a BPF is only selected when a record is created. So for existing records, you need to go through the process that you described.

    Alternatively, because BPF are entities, and each instance of a BPF for a record is a record of the BPF entity, you can write a workflow against the entity (in your case leads), to create a BPF entity and then run the workflow against multiple leads in one go.

    In the workflow, add a create step and select the name of the BPF. Set the process name to the name of the BPF and set Lead to the Dynamics field Lead using the assistant. Make the workflow available on demand-only and deselect the automatic triggers.

    Here is an example of the create step for a BPF called Opportunity Sales Process. The Create step creates an Opportunity Sales Process record

    Hi Charlotte,

    The existing Lead records are not aware of the new custom BPF, and there's no existing relationship.

    You could use the XrmToolBox plugin BPF Manager to activate the custom BPF on the existing records:
