Using an Advanced Find on Email Attachments

Hi - I am looking for help,

I have been asked to pull up a list of all Email Messages Regarding a certain Project - Project is a Custom Entity in our instance.

The only way I could think to do this was through an Advanced Find, but I have hit a snag. I can't get the associated Email Attachment for those emails with an Attachment to be displayed in the columns of my Advanced Find.

I have two questions:

1: Is there a better way of doing this?

2: Do I need to change a setting on the Email Attachment Entity to allow Advanced Find's to do what I require?

Thanks for looking at this post.

You can do an advanced find just like the screen shot below. This will give you a list of all emails that have attachment and then you can open each one individually and view the attachment. One issue with CRM attachments is that lot of times, CRM will convert an image in the email signature to an attachment and save. So when you query on email attachments in CRM, lot of time you will see images attached to emails and in fact they will be images from sender's email signature.

    Hi Ashishkhanna,

    Thanks for responding.

This is a clear example of something that's hard to understand - when building the query part of the Advanced Find CRM can see the relationship. But when building the View for the Results, Edit Columns, CRM can't see the relationship.

I think it would be really handy if I could construct a query directly on the Email Attachment Entity. Is this possible in CRM?

I'm not looking to "join" on to the Email Messages Entity, what I would like is to return a list of all email attachments displaying related columns, File Size (Bytes), etc...

Looking at the System Defined Views for the Email Attachment Entity, there's even an Advanced Find View and an All Activity Attachments View:

Surely it must be possible to see/run these Views if these are setup by default.

Sorry to resurrect a very old thread - we're trying to find how to get email attachment size into Advanced Find too...

If there's any suggestion how to construct a SQL Query that would be appreciated as well.

    Thanks.

Attachments for email is stored in the Notes entity, so that is where you need to start, then relate it back to Regarding (Email) entity. This will allow you to get the size of all the attachments, but it will only show email that has an attachment - it will ignore email that does not have an attachment.

    @Nelson,

This was an interesting approach. In our own system I checked, and found 62 attachments stored as Notes. Clearly there are many more stored elsewhere.  For example, when a signature block is included, Dynamics converts it to a PNG attachment.  None of these show in the notes attachments table though.  Are you able to provide guidance on where those are stored / how to report on / delete them selectively?
