Inventory setup question. Similar Items. Coding. Min Stock.

Hi all,

We are setting up our inventory module and we have diffuculties in trying to define what is going to be the inventory codes and should we work around having different brand options of a similar product and establishing minimum stock.

We work with pharmaceutical, health care products. And as an example of a product we might have

Generic Paracetamol 500mg pill (available from supplier A and B) with Manufacture product code 1001

Branded A Paracetamol 500 mg pill (available from suppliers B and C) with manufacture product code AABB1

Branded B Paracetamol 500 mg pill (available from supplier A and C) with manufature code PARB500

I would like to know what is the best practice in GP for inventory.

Should I create my own inventory unique ID for Paracetamol 500 pill? Doing that will negatively affect my pricing policies, since I will be working with average costs, and I will not be able to charge more on premium brands, and also will complicate the future implementation of a barcode system for the reception of items based on their manufacture product ID.

If i Create different product ID for each different brand, how can I set and track minimum stock for that group of items? (Eg reorder Paracetamol 500mg pills when the combined stock from any brand in any of my wharehouses reaches less than 2000 pills)

I will apreciate your help and Guidance.

    I think I would use your Option B, and use the Short Description or Generic Description to group the items.  What report do you currently use to analyze minimum stock?  Are you using MRP or PO Generator?

    I know Frank responded, and I'm probably going to repeat him, but I cannot find where options have be described. From reading your post, I think you should keep the items separate as far as item numbers are concerned. To my knowledge, GP does not provide a vehicle for you to assign items to a group that should be evaluated as one item. This would be strictly a reporting effort - an easy one, but an effort just the same. You'll need to pick a field that you can use to group the items. Frank has mentioned the generic description and short description, and those are certainly good options. Bonus - there's an index on the generic description field. You could also use the Item Code field, that you would need to reveal using modifier.

    You could also use the user defined categories. At least you could choose from a drop-down vs having to type it in. If you want to create an item number that represents Paracetamol to use for your outfacing documents, you could set up a kit with the generic 'item number' and then place in the kit either the branded or generic item. Your pricing could be based on component cost so that you could manage pricing based on cost.
