Wrong dimensions gone in Purchase orders and Sales Orders while invoicing

Halo everyone,

I had a query. We are maintaining dimensions as same as site names. Say i have sites like india, US So we maintained 1st dimensions as India, US etc.

So now, in PO & SO, when we had transactions from Site "India", site is selected correctly as India, But dimension is mistakenly gone as "US" and same PO or SO is invoiced. is there a way to rectify this mistake?? The department field is editable in system,but will it make this changes in all the related tables if i change it as the orders are invoiced??. We need to rectify these wrong dimensions as we are maintaining financial statements dimensionwise. Kindly help..

    Hi Monahb,

    Once posted, changing the values on the SO or PO will not update the ledger entries.

    You have to create correction entries for this. Probably credit notes and new invoices. Or you can post additional ledger entries, but that will make reconciliations more difficult if you post on the original used main accounts.

    Hi Andre,

    There is no problem in site selection or any of the amounts of ledger. The entries are perfectly all right except the financial dimensions attached to them. I need to rectify the dimensions attached. Is it possible for a technical to change these financial dimensions on back end tables by writing any job or so??

    There is no support for changing it on the back end. Note that in AX2012 there are many tables related to the financial dimension framework. I would not recommend to go for changing the data in the database directly. It is too easy to corrupt your database. Besides accountants do not allow this.

    As Andre said, even attempting to do a backend database change is not a wise move, especially with the complex dimensions framework in AX. Seems you need to do the " good old fashioned" journal correction for each erroneous GL posting. Alternatively, you may be able to set-up some sort of "re-allocation rule"  to automate the journal corrections. Someone on the forum may be able to advise you on this.

    Thanks for the inputs Andre & Advent.

    Is there any other way to rectify these wrong dimensions other than by way of one to one correction entries?? because i hv got good large number of transactions wid wrong dimensions :(

    You could cancel the orders which are causing the issue and create new orders.  You could use the DIEF import options to recreate the same orders / lines  with a new order reference. The import would set the correct dimensions on the new orders.  This is what I would do, particularly if there are many orders/order lines that need to be corrected. Maintaining Data integrity is your main issue, not the corrections themselves.

    If the orders are now fully invoiced, then you HAVE to create GL Journals to fix the issue. You can export all the incorrect lines into a file and then use this file to create a "correction journal". i.e. A reversing entry for each incorrect posting and a matching entry (with correct dimensions) for the required posting. All achievable in AX without resorting to hacking the database.

    The data import export framework is for AX 2012. In AX 2009 you can use data import/export definition groups, also for creating an Excel template.

    The data model in AX2009 is more simple, but still I would not recommend to do changes manually. You can create cumulative journal entries if it can ne corrected in one go or per month.
