PMA: Forecast hours import and Forecast vs Actual Hours Report

Hi All

I have a requirement for a simple forecast vs actual hours import and report in projects.

I can add multiple hour forecasts manually through PMA > Projects > All projects, select a project > Plan > forecast > Hour forecasts. But as there are a lot of projects / months / categories / employees is there a way of importing this en masse? I have "Opened in Excel" thinking I could use the excel add in but I am unable to retrieve the relevant headings to publish back to D365.

Also is there a simple report available that will show the actual vs forecast hours per employee per category per project? I have tried looking for standard reports, would it be best to write my own in Financial reporter?

Thank you for your time

Kind Regards

    Hi Andra

Thank you, I will do some more investigation into all of the standard PMA reports.

    Hi DBRoad,

I don't know about the details of all reports in the project management module. There are some reports in the Profit and Loss section which do have comparisons between actual and budgets. You can check what is available. If it doesn't meet the requirements, you can consider a custom report or use PowerBI.

    Hi Andre

Thank you, yes you are right it was part of a customisation that a previous partner had completed. As I'm new working with this area of PMA I hadn't realised.

The client has decided that they don't require this development so we are looking at removing it and then I will try the upload again.

My other part of the query still stands though, does anyone know of any simple standard report that shows the actual hours spent on a project vs the forecast hours for the project, broken down by resource, category, project?

    Kind Regards

    Hi DBroad,

Are the columns Years and Month part of a customization? In my environment, I only have a Project date. In the data entity, you can use the Project date field.

The reason why the Year and month will not change is because you provide a manual Transaction ID. This transaction ID is the key field for the data entity to check for existing records to be updated or insert a new record.

    Hi Andre

    Thank you for your reply.

I have included a screenshot below of the form within D365, this shows the Year / Month but when opening in excel these are not available, I needed to manually add the Transaction ID and I tried to publish without the Year / Month information and once successfully published this reverts back to 2021 / January.

I then tried using Data Management for the entity you suggested, if I fill in the Transaction ID field manually again I am able to import the data, however I cannot change the Years / Month highlighted in the first screenshot.

I exported data with different Years / Months and found that this updated the Project Date field, however on changing this and re uploading new data, the Year / Month stayed at January 2021 and even the Project Date on the general tab stayed at 01/01/2021.

Also, once this is working are there any reports that compare these forecast hours against actual posted hours?

    Kind Regards

    Hi DBRoad,

It should be possible, in my opinion, to use the option 'Open in Excel'. Can you explain what exactly you mean with 'unable to retrieve the relevant headings'?

The same data entity is also available to be used with the Data Management features where you can import files. The name of the entity is: 'Project hour forecasts'.
