Unable to delete journal (Number xxxxxxx does not match format xx-#######.)

Hi experts,

When I try to delete journal(General journal, invoice journal & payment journal) headers, it is not able to delete them but have error message as follow.

Number xxxxxxx does not match format xx-#######

Journal can be deleted if I untick Continuous in journal setup.

so my question is

1. If I untick continous in journal setup, can it be any problem afterwards?

2. Is there any other ways to delete journal other than removing continuous tick box?

Thank you all,

Tina

    Hello Tina,

For 1: In my home country this is not a problem but there are countries where those numbers are required to be continuous. If you do not have such an accounting regulation that you have to follow then you can deactivate the parameter

For 2: It seems that a change has been made to the number sequence used. What you can do is changing back the number sequence format to what it has been before, then delete the journal and change the number sequence once again to its current format.

    Best regards,

    Ludwig

    Hi Tina,

Did you change the sequence number for vouchers recently? if YES, it should be the cause. You would need to stop people from using the system, reassigning the old sequence number, then deleting the journal will work, then reassign the current one then people can resume working.

If this is not your case, maybe other people run into something similar.

Sorry for duplicating the Ludwig's answer, somehow I didnt see his answer using my mobile and couldn't delete the answer as well.

There is a simple way to fix it. Journal header has number seq field as well, so as guys told you, number seq was different when journal has been created to what you have now, but instead of changing number seq for all journals you can go and change in table browser number seq value for this particular record to match current number seq setup and then you would be able to delete it.

I have this issue with AP Invoice journals. We remove the lines but get the message "Number 011318 does not match format APIN#########". The strange part is that the 011318 is the Header Journal format and the APIN#### is the lines number format. We have not changed either of these number sequences. I did not think with cloud you could use table browser to edit anything. Any help is appreciated.

Did you try to change it on the header or not ? If you don't know how then ask your developer or support partner to help you.
