excel cannot open the file .xlsx because the file format or file extension is not valid. verify that the file has not been corrupted and that the file extension matches the format of the file.

Posted on by Microsoft Employee

The client is using Microsoft Dynamics GP 2015 and Office 2013. The problem is when we try to export the customer list we get the following error, but it works fine when vendors list from SmartList

excel cannot open the file .xlsx because the file format or file extension is not valid. verify that the file has not been corrupted and that the file extension matches the format of the file.

I have already checked there are no viruses on the server.

Need helping in resolving this problem.

I have faced the same issue last month. To fix this problem, I have tried Inbuilt Open & Repair utility which are very useful & free of cost.

    1. Open Excel file

    2. On the File menu, Click on Open

    3. Select corrupt Excel file

    4. Click on Open Tab and Select Open & Repair

    5. At the last, Click on Repair button.

Now, open repaired excel file and access all data. If this technique doesn’t work properly then try other methods mentioned in below blog post:

If the file is highly corrupted and manual methods can’t fix the error. Then you can try automated software which is recommended by MVP’s. Like,

This is very common error message with MS Excel. Read my answer on this forum: social.technet.microsoft.com/.../excel-file-error-the-file-format-and-extension-dont-match

I work for a very large corporation that licenses the POS Office 365.  Why POS?  Simple, Excel crashes from time to time, sometimes repeatedly after updates.  Features are missing that I use at home on my Office 2010 system, and lastly, cloud based computing is insecure, slow, and subject to network issues.  They maintain thousands of systems world-wide remotely, and maintain high security settings as well as security software.  Reinstalling Office 365 is not an option for me as only a remote IT person can do so.  Local, files on my computer open, the file I've lost access to is on a networked drive.

I was working on a file yesterday that I've spent many weeks on, saving continually as I work, and then saved and closed Excel at the end of the day.  This morning, Excel launched fine, but I got the error message "Excel cannot open the file blahblah.xlsx because the file format or the file extension is not valid.  Verify that the file has not been corrupted and that the file extension matches the format of the file".

I've tried opening Excel in Safe Mode, and that doesn't help.  I've copied the file and tried to open it at home, and get the same error message.  I searched the internet for solutions, finding many unrelated resolutions; rename the file and changing the extension to xls, changing the Trust Center settings, etcetera, all to no avail.

I'm hoping someone has the real answer.

    thanks

If the Excel file is corrupt and you want to repair it, you should try few easy manual tricks before purchasing any paid software. The manual tricks don't require any 3rd party tool or any other cost. You just need to use MS Excel program, that's it. You can try the following things:

    • Open and Repair, a built-in trick in MS Excel program
    • Data extraction
    • Using SYLK (Symbolic) format

Refer to this blog post for complete information - Few Easy Tips & Tricks to Repair Excel File Manually

I hope the shared information would be helpful here.

Thanks to everyone for their help on this matter. The client had funky characters beyond @!/. They have used a font that put some special letter in the data and excel wouldn't allow the data to export. It exported to Word because the fonts are in Word.

    Again thanks.

    Hi Tracy,

Have you seen this post? It sounds like it might be the same issue you are experiencing.

If the refresh didn't work I believe the next step is to isolate any special characters in the returned dataset.

I did the refresh on the smartlist and it didn't fix it.

Did run the repair and it didn't resolve the problem.

    Hi Tracy,

I have seen this a few times and it seems like it is always caused by a character in the export dataset that excel doesn't want to recognize. It can be hard to chase down the record that is causing it but it is possible. Occasionally simply refreshing the smartlist and exporting again will "fix" this.

    Kirk
