Dynamics Opportunity Kanban board view and calculation update

Hello Team,

 

Could I update the current view in the CRM Kanban card in Opportunities? I have 3 fields (Owner, Est. revenue and Est. close date).

Can I change e.g. 'Est. revenue' and 'Est. close date' to 'Actual revenue' and 'Event End Date'?

 

The total amount on the top of the board shows the calculation based on 'Est. revenue', can it be changed to show the total of 'Actual revenue'?

 

Can I do it somehow without buying a plugin? If no, are you planning to increase the functionality of Kanban in the nearest future?

    As of now, the native Kanban view functionality for Opportunities in Dynamics 365 Sales is fairly limited in terms of customization. Here’s a breakdown of what you can and cannot do with the Kanban view based on the current out-of-the-box features, as well as potential workarounds and alternative options:

    1. Changing Fields Displayed on the Kanban Card

    • Out-of-the-box limitations: You cannot directly customize the fields displayed on the Kanban card in the Opportunity Kanban view. The default fields (like Owner, Est. Revenue, and Est. Close Date) are fixed and cannot be swapped out for other fields without customizations or third-party solutions.
    • Workaround: If showing the "Actual Revenue" and "Event End Date" is essential, a possible workaround would be to:
      • Create a custom view that includes these fields and use it in the standard Opportunity list view, though this wouldn’t have the Kanban layout.
      • Use Dashboards or Power BI reports: If you need more flexible views with alternative field display and total calculations, consider building a custom dashboard or Power BI report. These can mimic a board layout in some ways and provide much more flexibility with which fields are shown.

    2. Changing the Total Calculation to "Actual Revenue"

    • Out-of-the-box limitations: The Kanban board’s top-level calculation aggregates Estimated Revenue by default, and this cannot be changed to sum up another field like "Actual Revenue" using the native Kanban settings.
    • Workaround:
      • Create a calculated field or custom roll-up field in your Opportunity entity to dynamically calculate totals based on "Actual Revenue" if your business logic allows it.
      • Alternatively, you could use Power BI or Dynamics 365 Dashboards to create a more customized view with total calculations based on "Actual Revenue" instead of "Est. Revenue."

    3. Options for Expanding Kanban Functionality Without a Plugin

    • As of now, there is no built-in way to fully customize the Kanban view for Opportunities in Dynamics 365 Sales without a third-party plugin.
    • Microsoft has not announced any upcoming enhancements to Kanban views specifically, but Dynamics 365 features are updated regularly, so it’s worth keeping an eye on the Microsoft Release Plans. You can view these at the Dynamics 365 Release Plan website, which provides information on upcoming features.

    4. Alternative: Third-Party Solutions

    • There are several third-party solutions on AppSource that enhance the Kanban functionality, such as Kanban Board by Inogic or Kanban Board by Maplytics, which allow more customization options for cards and summaries.
    • These solutions generally come at an additional cost, but they can provide the flexibility you’re looking for in terms of changing the fields displayed on cards and adjusting the revenue total calculation.

    • Configure stage-wise aggregate totals: Display totals based on any numeric field, like Actual Revenue, Quantity, or Custom Budget Fields.

    There are other features too of Kanban Board that can help you in customizing your CRM interface.
