We currently assign sales representatives to customers manually using an Excel spreadsheet. Since the assignment of sales representatives to customers changes annually, and sometimes even during the year, we use Excel to map this.
Is it possible in Dynamics CRM to assign sales representatives to customer A from January 2025 to December 2026 and to customer B from 2026 onwards? In other words, a kind of historical record of the assignment of sales representatives to customers.
In my company, I always hear that this is not possible. I don't believe that it is impossible to reorganise standard sales structures.
I would be very grateful if someone knowledgeable could provide me with an answer. Links or videos that address this topic would also be appreciated.
"Ownership" of a record is a point-in-time piece of information, so while you can view the audit history of a record to see previous owners it isn't readily available on the form. If you need to see a timeline of ownership outside of Audit records, you can do the following.
1. Create a custom table called "Sales Team Assignment" that has fields for Start Date, User, and Account (feel free to add other helpful information here).
2. Create an workflow that triggers on change of Owner to the Account record. This workflow can create a record in your new table that contains the current date, the new owner, and the related Account
3. Add this table to a subgrid on the Account table to make it easy to view the information
Bonus points if you use Power Automate and add an end date to the prior owner record so you get a full date range of ownership. This solution would also work whether you are updating the owner programmatically (using excel and Power Automate, for example) or updating directly in CRM (which would be my recommendation).
You can obviously expand on this a lot, but it basically is a custom audit table built for specific important information.
