Sum Rollup Of Quantity From Order Line Over 12 month Period Fulfilled Orders

Hi,

Im having a few difficulties with the below scenario.

I wish to SUM rollup all the Quanity values from order lines that have been created over a 12 month period and the order "won" fulfilled

Im getting someway to completing the rollup but have found that the quantities dont rollup unless the account is on the order line which makes sense, unfortunately the mapping between the

order and order line (that contains the account mapping) doesnt work and hasnt been working.

1:  Is there a way to add the account to the order lines retrospectively - i understand this is not achievable with a standard workflow

2: is there a better way to sum all won order lines on won orders for a 12 month period and report this in a field on the account form?

Thanks

Re 1. If the account names are unique, you could use export/import to update the data. Create a view on order lines that includes the account lookup on the order (which will be populated), and the account lookup on the order line (which is blank). export the data from this view to Excel, then copy the account fields to the column for the account lookup on the order line, then reimport

Re 2. The problem is that a rollup can't be based on another rollup, and rollup fields don't trigger workflows. However, there are workarounds. One could be to create a rollup on the order of the order line quantity, and a separate (non-rollup) field on the order. Then, create a rollup field on the account to sum the new non-rollup field on the order. Then you need a means to populate the non-rollup field on the order from the rollup field on the order. There are a few options:

    • Use a workflow on the order line, trigger off a create, or update of the quantity. This could use the workflow tools to trigger a recalc of the rollup field, then set the non-rollup to this value
    • As above, but have a wait condition of just over an hour to allow the rollup field to automatically recalculate
    • Use a Power Automate flow to run on a schedule and update the non-rollup field

    Hi David,

Some good suggestions there that I will try and utilise.

Any suggestions on capturing the fulfilled orders within last 12 months requirement?

    Thanks

Should be able to use the rollup filters thinking about it on the order then pass to account
