Sales Usage Reports not visible to Sales Manager Role

(2) ShareShare
ReportReport
Posted on by 34
Hi all, I have enabled the Sales Usage Report as system admin and I can see it in the tables as system admin. The Sales Manager roles do not see it? Does something in the security role need to be enabled so that they can see this report?

    Hello DebbieAG,

Yes, absolutely! For users with the Sales Manager security role to see the Sales Usage Report within Dynamics 365 Sales (now Power Apps), you need to ensure their security role has the necessary privileges to access the underlying entities and the report itself.

Here's a breakdown of the likely required privileges and how to check them:

Key Areas to Check in the Sales Manager Security Role:

    1. Core Records Tab:

      • Saved Views: Sales Usage Reports are often presented as system views. Ensure the Sales Manager role has Read privilege for the Saved View entity. The level of access might need to be Organization if the report is a system-level view.

      • User Dashboards/System Dashboards: If the Sales Usage Report is displayed on a dashboard, the Sales Manager role needs Read privilege for the relevant Dashboard entity (either User Dashboard or System Dashboard, depending on where the report is located). Again, Organization level might be required for system dashboards.

      •

    2. Customization Tab:

      • Reports: This is the most likely area where the privilege for accessing reports resides. Ensure the Sales Manager role has Read privilege for the Report entity. The level of access might need to be Organization to see system-level reports.

      •

    3. Business Management Tab:

      • While less likely for simply viewing a report, check for any relevant privileges related to business intelligence or analytics features.

      •

    4.

Steps to Verify and Grant Privileges:

    1. Navigate to Security Roles:

      • Go to Settings > Security > Security Roles.

      • Open the Sales Manager security role.

      •

    2. Check Core Records Privileges:

      • Click on the Core Records tab.

      • Scroll down to the Saved View entity. Verify that the Read privilege has at least User level access (ideally Organization if it's a system report).

      • Scroll down to the User Dashboard and/or System Dashboard entity. Verify that the Read privilege has at least User level access (ideally Organization for system dashboards).

      •

    3. Check Customization Privileges:

      • Click on the Customization tab.

      • Locate the Report entity.

      • Ensure the Read privilege for the Report entity has at least User level access, but Organization level is often required for users to see and run system-level reports.

      •
    4. Save and Publish:

      • After making any changes to the security role, click Save.

      • Then, click Publish All Customizations to ensure the changes are applied.

      •

    5. Have Users Log Out and Back In:

      • Instruct the Sales Managers to log out of Dynamics 365 and log back in for the updated security role privileges to take effect.

      •

    6.

Why System Administrator Can See It:

The System Administrator role has full privileges to all entities and features within Dynamics 365, including all reporting and customization areas. This is why you can see the Sales Usage Report without explicitly needing to configure specific privileges.

    Troubleshooting Tips:

    • Specific Report Entity: There might be a specific custom entity or a related system entity that the Sales Usage Report relies on. If the report is built on a particular entity, ensure the Sales Manager role also has Read access to that specific entity.

    • Sharing the Report: If the Sales Usage Report is a personal report created by the System Administrator, it might need to be explicitly shared with the Sales Manager users or their teams. Check under Reports if the report has been shared. However, if you enabled a system-level Sales Usage Report, this shouldn't be the primary issue.

    • Check App Designer: If you are using a specific Sales app (like Sales Hub), ensure that the "Reports" area (or wherever the Sales Usage Report is located) is included in the app's sitemap and that the Sales Manager role has access to that area of the app.

    •

By carefully reviewing and adjusting the Read privileges for Saved View, Dashboard, and Report entities within the Sales Manager security role, you should be able to grant them the necessary access to view the Sales Usage Report. Remember to test with a Sales Manager user account after making the changes.
