HR Document Management

Posted on by 395

Hi

I need to set up various standard HR letters to be generated by using Word templates from within AX 2012.

I am using the table HcmWorker on the overview tab and when I try to add DirPersonName as the Data Table on the following tab I get the following error:

  • A relation between Worker and Person name must exist, or a data value must be entered.

I need to have information such as First Name, Last Name, Job, Department, Compensation Level etc. available to the Word document. The document must be available from the attachment button on the Employee List page.

Any suggestions or examples that I can look at? If possible I would like to avoid customisations.

Lourens

    RE: HR Document Management

    Hi all,

Brian, thanks for the answer! Although I would say that creating Word documents from AX are pretty limited if you want to do some complex stuff. We had this basic problem with updating the Word templates – if we changed anything in the query, we could not refresh it from within MS Word Add-In and we were forced to build the whole template from the start. Also, sometimes queries are not so handy when you simply need the procedural way of building your data source, e.g. you need data providers and X++ code.

Design limitations are the next big issue we were faced with, e.g. nested tables, headers, footers, dynamic images, data formatting, etc.

Then we started using Docentric AX: http://ax.docentric.com/, a Dynamics AX Add-On that improves Word templates (Document Template Libraries). It allows use of data providers, you don’t even have to create any temporary table, only plain X++ to generate data source for the document. It has Add-In for Word as well but far better than the built-in. This Add-On also improves SSRS reports (design, print destinations), you don’t have to wait all the time to refresh/restart something while working on a report. In general, we benefited a lot and I would recommend this tool to everyone who is a bit tired :) of using built-in Word Add-In and SSRS reports.

    Cheers,

    Emma.

    Hi Annette

I have emailed you a PDF document with notes and screen prints of the process I followed to get the documents to be produced.

    Hi Lourens!

Thank you so much for your answer. I have tried what you suggest. When I choose Attachment/new – the drop down does not show DocumentTypes with Class = Template library

Which Class/Group have you set for your DocumentType? When making the template document –you used Document Datasource, right? Did you also share your template in Sharepoint to make it work?

Apologize for all these questions, but to have this work, will be a big relief. I really appreciate your help. Hope I can help you another time.

    Hi Anette

You are right, there is no button to Generate from Template in HR. Instead you can click on the attachment button, then on 'New' and select your document from the drop down.

Once selected the system will open a Word document with all the information in the document filled in.

It will also store a copy of the document for later viewing.

I hope this answers your question. If not let me know.

Hi Lourens!  I have exactly the same issue.  Unfortunately I do not get it working. It stops when I try to generate the Word-document.

I have studied the article and the example showing CustTable. In the Personalform there is no 'Generate from template'-button.  How did you solve it?  I would be grateful if you could send me your solution.

    Regards
