Project Invoicing - charging items at cost

(0) ShareShare

Hi,

I was wondering if it is possible to charge for the items that are recorded in purchase orders through invoice proposal in the project module at the cost without the need for the user to populate the sales price. In other words we want to be able to charge the items at the cost price and get an additional management fee. I can set up a Time and Material billing rule in the project contract in project module and add another Fee billing rule. However it works only if I populate the sales price with the cost price in the PO. Is there a setting somewhere that uses the cost price to default the sales price?

Please refer to the technet article in the following link. for the time and material billing rule it mentions that "Office supplies are invoiced at cost, not to exceed 10,000 for the project." Does it mean that someone needs to populate the sales price manually?

Thanks,

Reza

    Hi,

If you talking about  cost then the line property would determine whether cost from the PO would get loaded on project or not.

Sales price is utilized when you want to bill your client which is not directly connected to your cost. The common point is line property which determines the loading.

    Hi Reza,

Prices for item transactions are not specified in the project module.

If you want to sell something at costs then you can specify this either in the released product form for example by setting up a contribution ratio of 0%. This would, however, mean that you sell the item at costs to all of your customers. I believe that this is not what you would like to have.

An alternative is making use of a price/discount agreement journal, which does, however, require that you enter or upload the sales prices.

Do you need this kind of set up for intercompany transactions?

If this is the case, is your PO then included in an intercompany trading chain?

(=> related to an IC sales order)

    Best regards,

    Ludwig

    Hi Ludwig,

The contribution ratio is a setup for "sales order" tab in the released products. I am trying to create a purchase order with the item and I want to populate the sales price. I tried the contribution ratio and as I expected it is not working. Please see the attached screenshots:

    Hi Rahul,

Please see my screenshots for replying to Ludwig. If the sales price is zero project module does not calculate any invoice for the customer and nothing shows up in the invoice proposal.  When I change the line property and remove the chargeable attribute even if you populate the sales price the transaction is not picked up in the invoice proposal form.

    Thanks,

    Reza

I am not sure why the link is not posted. I am trying again:

    Hi Amirreza Mahdiani,

I tested the following setup and entered a charges percentage of 0,001

    4186.tst.png

This worked out in my case and the purchase price was recorded as the sales price for the project.

Can you test something similar in your system?

    Best regards,

    Ludwig

    Hi Ludwig,

If you see my previous screenshot the sales price model is set yo none and is grayed out. I cannot change it. Do you know where to set it up and make the attribute active?

    Thanks,

    Reza

    Hi Reza,

Can this access issue be related to your role that you have assigned in your system?

    Best regards,

    Hi Ludwig,

Your solution worked perfectly. I used charges percentages and a 0.00 percent and it works just fine.

I still need to see why the sales model is grayed out on the UI. For now I managed to change the attribute in the database and test the solution.

In terms of access level, my access is admin level and it is in test environment.

    Thanks,

    Reza

    Hi Ludwig,

Is there a setting for doing a similar thing for Expense categories? I want to use an invoice journal and track the cost on the project and would like to set the default sales price to the cost price?

    Thanks,

    Reza

Please see the project tab in the invoice journal:
