What is the best way to configure D365 and Sharepoint Online integration?

Hello, community.

Some months ago, I have configured D365 and Sharepoint integration. Ok, nothing new. After that, I added all D365 licensed users to the O365 group to access documents, but something shine in my mind: Now, I have a security problem. All documents have been accessible to all users, no matter what I have done in D365 security roles.

I found an OOB solution for this, but I am very curious if I did something wrong or if Microsoft made this solution as poor as I think they did.

    Hi Douglas Henrique,

    It seems you need a solution to automatically apply CRM access privileges to SharePoint. This solution must ensure that all security and access privileges set in CRM are seamlessly replicated in SharePoint.
    In your case, when integrating SharePoint with CRM, there are several key aspects beyond access privileges where you need to sync permissions:

    Security Role Changes:
    Any changes to a user's security role in CRM must be replicated in SharePoint. For instance, consider two business units, Marketing, and Sales, in addition to the root business unit. Sales is the parent business unit of Marketing. In this example, we are working with the Account entity.
    Now, Sales BU has two users, James and Rhea. James is a salesperson who has user-level read/write access and Rhea as a Sales Manager has Business Unit read/write access.
    Marketing BU has one user Joe who is a Marketing Manager and has organization-level read/write access.

    Scenario 1 Visibility:
    James: With user-level access, he can see only his records.

     
    Rhea: With BU level access, she can see her own records and also see James records, who is present in the same BU.

     
    Joe: With org level access, he can see all the records created by each user present in the organization.

     
    Scenario 2 Visibility:
    Now we change the access level of Rhea to Parent Child Business Unit, and keep the security level access of Joe and James the same. With this Rhea will be able to see the records of both Joe and James.


    Additionally, user-level access comes into play when a security role is associated or dissociated with a user or team, a member is added or removed from a team, or a security role is deleted.

    Reflect the assignment to the record:
    Security role privileges need to be synced when a record is shared or assigned to another user. For example, if User A (Sam) owns a record and User B (Rhea) only has user-level access, Rhea won't be able to see Sam's records in SharePoint.

    D365 CRM does not have built-in functionality to handle these scenarios. To address this, you can use Inogic’s SharePoint Security Sync app, which includes all these features.

    Thank you very much for your help. I made another test and apperantly everything occurred fine.

    You can find this under core records tab of security role. Here you can assign permissions based on different roles.
