Permission sets for PO issue and filtering for specific unit

Posted on by Microsoft Employee

I am making specific permission sets for a role for issue of Purchase order.  In my organisation there are 11 different business units.  Now my concern is:

  1. I want to allow specific business unit person to look at only transactions in GL ledger for his own unit only.  (I am able to do filtering for this)
  2. When user is checking existing purchase order, he can see only purchase orders for his own unit (need help to do this)
  3. When he want to issue a new purchase order, he can only issue this for his business unit (need help to do this)

We are using 4 dimension code while issuing a purchase order and Unit code is one of these dimension code.  Can anyone help me to suggest which table date to filter for unit code.

thanks

Khushwant

    Hi,

Perhaps, you have made mistake somewhere.  I tried it and it's validating.

    Steps1:

    1. Created a Responibility Center and set Dimension for Department as Same Code

    2. In the user setup, selected the "Responsibility Center" for "Sales Resp. Ctr. Filter" and "Purchase Resp. Ctr. Filter".

    3. Created a Purchase Order, (autopopulated the Res. Center and the associated Dim.)

    4. Added a line with G/L Account No.

    5. Changed the Header Dimension (Department) to another (other than the one selected in Res. Center).

    6. Clicked Yes to the confirmation dialog.

    7. Try to post.

    8. Selected Receive and clicked OK.

Result : Error (below is the error)

The dimensions used in Order 106025 are invalid. Select Dimension Value Code ADM for the Dimension Code DEPARTMENT for Responsibility Center ADELAIDE.

    Hi

Sorry but it is posted with another unit code.  No error.

One more thing, Does the GL Account code specified dimensions make any difference in this case.  GL Account code is having different unit code or code mandatory, whether this will have any issue?

    thanks

    Hi,

The validation will happen when you try to post it.  Try to post a Purchase Order.

    HI

I did as per your email, but still user can modify unit code and process PO.  May be I am doing some mistake somewhere, but I checked:

    1. User is having responsibility set up for that specific unit

    2. In responsibility centre, Unit code is same and it is specified "Same Code"

    3.  When issuing PO, default dimension is coming as specified but you are able to change and there is no error for that

Please suggest me if I am missing something

    thank

    Hi,

Well, you may restrict the selection of Dimension by setting the "Default Dimension Code" for each responsibility center.  Responsibility Center -> Navigate -> Dimensions, and set the Value Posting as Same Code.  So while selecting the Responsibility Center, the respective Dimension will flow and user don't have a choice to modify it (even if it's modified, system validates that it has to be the same as what is been set up in the Responsibility Center).

    Hi,

Which Dimension is the "Unit Code"?  I mean whether it's Dimension 1 or Dimension 2 and so and so forth.

    Hi MMV,

thanks for your response, I was not aware about Responsibility centre but I used responsibility centre as suggested by you.  This is giving me all what I need except that specific business unit is still able to issue purchase order for other business unit.

As I specified in my question, we are using unit code in one of mandatory dimension and user can still issue PO for other unit by selecting it in Dimension code.  How to restrict this.

    thanks

    Hi,

What is the demarcation to identify the Business Unit?  Are you using the Responsibility Center?  You may use the Responsibility Center for restricting the availability of Purchase Orders.
