How to choose Teams in a User lookup from Lead/Opportunity?

Hello,

I have a scenario where we want to do the following, on the Lead/Opportunity form we have created a lookup to the User entity where we have created a lookup named Responsible sales manager. This field is later used to send an email after each stage is moving through the BPF, a workflow has been created and everything is working.

But I have the following question, if I want to use Teams in my lookup it's not possible..Do I have to create a user and add a license that has the Email to the team and the team name? Or how should I achieve this? Sales Team Europe and Sales Team Germany are two records I want to include in my lookup from the lead/opp. I have seen that there are inactive users that I could rename and also change the email to the Salesteameurope@hotmail.com email...maybe it's a quick fix but not the right way. How would you achieve this?

    Hello,

    You will not be able to use "Team" entity in your custom "User" lookup. The possible workaround is to create another custom lookup that will point to "Team" entity.

    Hi There 

    I didn’t understand why you need to populate a team in the lookup?

    if you’re just after sending an email on stage change; you can do it via workflows or flows to the preferred email address or else you can create a queue for that.

    please let me know if this doesn’t help and further elaborate your scenario so we can better understand it and provide a solution.

    Using Team in a lookup not a good option. I would recommend to use Flow or Workflow. Ping me, I will help you to set up.

    Okay sure, but if I want the sales people to select which is the responsible sales manager of the lead, which lookup should I use so they can define it? I have later created a workflow that starts when moving to the next stage and it sends to the owner of the responsible sales manager field ( which is a user in this case) but sometimes it might be a team, and I want the salespeople to be able to define the Team as a responsible sales manager also. Should I create a user that is named for example Project Team? But then I need to give it a license and might be dumb to use a license for a user which will only be used to send emails.

    Any suggestions?

    Okay, but how to make possible for the salespeople to define who is the responsible sales manager, it can be a team or as a user. Isn't a lookup required for that? And I have created a workflow when the process is moved to the next stage it sends an email to the owner of this field. But right now I only have the lookup for users which doesn't make it possible to choose a team.

    Owner field is "special" and created by a platform for entities with "User" ownership type. It's not possible to create a custom field that will reference 2 entities user and team at the moment.

    The only way for you is the way I mentioned in my first reply - you will have to create 2 fields - one for user and one for team.
