e-mail a link - How is the URL generated - Create the link manually

Hi Everyone,

Current Problem:

CRM has a feature called e-mail a link that opens up Outlook and hyperlinks the record.  I want to be able to manually create the link in excel, know just the record no.  Would this at all be possible?

ie.

1) Export a record into excel

2) As we know the url address, now that we have the record in excel I can create the link in a cell next to the record.

Any thoughts appreciated.

    When you export the data to an excel, select the "Make this data available for re-importing by including required column headings".

    That would provide you the record id in one of the columns (I think it would be the first hidden column)

    Create another column called the Record URL and have a formula in place to concatenate the following

    "orgname.crm5.dynamics.com/.../edit.aspx + "Cell which contains the Record ID"

    Note that etc=4210 is the entity id. So you will use the entity id that you are trying to import. For example, if its Account, then etc = 1, if its a phone call etc = 4210 etc.

    The other option would be to create a field on the entity form and call it Record URL. You can have a workflow populate the record URL on this field. If you do this, you dont have to go through all the steps mentioned above. Select this field for importing, and you will have the record url on the excel sheet.

    If I understand your question correctly, you need to know the GUID of the record. You can copy the URL from the address bar (if you can't see the address bar in IE just hit <F11>)

    https://<yourorganization>.<yourdomain>.com/main.aspx?etc=1&extraqs=%3f_gridType%3d1%26etc%3d1%26id%3d%257bC31288A4-9E1B-E111-905E-00505689001E%257d%26pagemode%3diframe%26preloadcache%3d1382996897735%26rskey%3d434481414&pagetype=entityrecord

    You'll need to replace the identifier between the %257b and %257d. If you have the GUID you should be able to create the URL. The URL format can and will be different on an entity by entity basis. that is the contact url will be different than the account url.

    As an example, here is a contact url, the one above was an account url.
    https://yourorg.yourdomain.com/main.aspx?etc=2&extraqs=%3f_CreateFromId%3d%257bC51288A4-9E1B-E111-905E-00505689001E%257d%26_CreateFromType%3d1%26_gridType%3d2%26etc%3d2%26id%3d%257bCD1388A4-9E1B-E111-905E-00505689001E%257d%26pagemode%3diframe%26preloadcache%3d1382997112358%26rskey%3d822318774&pagetype=entityrecord

    You'll need to get your own URL's to make this work.

    Thank you - allows me to past the url into the browser and works fine.

    Now, second issue, if you try and execute the created URL from Excel, it only launches CRM to our main CRM page (that which is displayed when you normally just login)....

    Any thoughts?

    You probably aren't going to be able to get by that. Unless single-sign-on is configured or automatic logon is enabled for local intranet sites. If you are already logged into CRM then you might not get challenged.
