Journal creation person and posting person should not be the same

Posted on by 222
Dear members,

I would like to know if any possiblites exist for the following scenario in D365 Finance & Operations. My requirement is that, the Journal creation person and the journal posting person should not be the same i.e, consider that Person X can only create the journal and is not permitted / allowed to post the journal. Similarly, Person Y can only post the journal but not be allowed to create the journals.

Is there any way that I can meet out the requirement ?? If yes, please share your valubale ideas.

Thanks in advance,
Saravanan

    Hi memebers,

My requirement is that, I wanted the person who created the journal should not post it i.e If a person creates an entry in a journal, he must not be permitted to post it. On the other hand, is the other person who approves the journal, he/she must be able to post it. In either of the ways, the permissions should not be affected.

Is there any way to meet out my requirement without the permissions getting affected ?

    Thanks in advance,
    Saravanan M

    Hi,

You may setup on the journal name as approver and approver user group.
So even user fills out the journal, will not be able to post the journal till approved. The issue is that user will be able to post after approved.
Or you can use WF to be posted once second user approves.

    Hi,
You can do this by setting up different security roles, creating two different security roles and assigning different permissions, one to only allow journal creation and one role to only allow journal publishing. For more details: Role-based security - Finance & Operations | Dynamics 365 | Microsoft Learn. Or you can configure the workflow to include different approvers to the user's behavior.
    Best regards,
    Kevin

    Hi Sarvanan,

There is sth called segregation of duties -- you can investigate this option to see if it suits your business scenario

There is a form called "Segregation of duties rules"  where you specify two duties, for example create journal and posting journal.
Now what this does, is that it prevents 1 user to have these two duties at the same time, it's either they create or post
    https://learn.microsoft.com/en-us/dynamics365/fin-ops-core/fin-ops/sysadmin/set-up-segregation-duties

I think you could also utilize workflows, to specify which users can post or create.

Do you have certain users who can create and certain users who can post? or it doesn't matter as long as the one who creates doesn't post and vice versa?

    Thanks,
    Layan Jweihan
