Hide no longer used items from item selection lookups?

Hi All,

My AX2012 client has some items in their product master that they no longer carry.  We have selected these items as stopped in the default order setup screens, which prevents them being transaction upon.  However, these old invalid items still appear for selection in the item drop down lists in the Sales, Purchasing, Inventory, and also BOM lines screens.

How do companies typically deal with the removal of old item codes that they no longer use?  Items cannot be deleted once transactions are posted, but the stopping of these items does not remove them from item lookup forms.

My first thought is to customize the item lookup forms to hide stopped items from the lookup rather than using the default lookup, but I wanted to check first that there is not a flag somewhere that I am missing to choose to hide stopped items from lookup forms.  How are other companies out there handling this?

    Hey Mark, I'm dealing with the same issue right now.

    Is it true that you can't delete items from AX?  You can only change their status?

    I'm still new to AX, so I apologize if my questions sound silly.  Thanks!

    I got this online.....

    You can use order setting form to set the item as stopped for purchase and sales

    Product and information management–>Common–>Released products–>Manage inventory (tab)–>Order settings.

    Set one of the item to stopped status using above option and then utilise Counting journal to update the stock of the item buy removing stock from stopped item and adding those to other active item please verify if this helps you.

    Any solution on this? basically how do we make an item code inactive such that users are unable to pick for use....totally to disable item since it cannot be deleted.

    Hello Craig,

    Did you get anywhere with this?  I would like to do the same or something similar for obsolete items.  Either hiding or highlighting as obsolete/stopped would be ok.

    I could not find the item type field you refer to on the product master.  There is a product type field that you can set when first creating the product, but it is then locked.  Do you remember where this field was located?  Is it possible it was a custom field used for the particular client?

    Have you try to change the item type to Outdated.   That is what I did with a client.
