Assigning Purchase requisition permissions to view other user’s reqs not working.

Currently using: 
Finance and Operations
Installed product version : 10.0.34 (10.0.1591.76)
Installed platform version : Update58 (7.0.6931.84)

Objective: Give user access to other’s purchase reqs since they are no longer in that position.

Process: D365FO > Procurement and sourcing > Setup > Policies > Purchasing requisitions permissions > Select user > right-side Requester add user who needs access > Save

When checking with user to see if they have access to it > negative. Tried the following resources to help:
  • D365FO documentation > had same procedure but no help
  • Google > information overload not helpful
  • ChatGPT > quoting the Señor Ramon from Nacho libre – “You are useless Ignacio!”

I looked at the security roles but seem to out of the box roles. Wanted to pick this community’s brain and see if my think process is in this area of needing to possibly create a new security role called View Purchase Requisition role. This permission will allow users to view other user’s purchase requisitions only. If this is the best solution, what is the specific duties or privileges to add to this role.

Any suggestions or guidance would be greatly appreciated!

    Wanted to provide an update on this:

    • The ANT support got to a point where there were no solutions and itching resolve this ticket.
      • Not going to happen on my watch!
    • We have a weekly ANT meeting to talk about projects and incidents and expressed my issue.
      • the outcome was that it was going to get escalated

     

    I don't know what he did but I sure got a response being super nice requesting another meeting in which they wanted to do same thing to see the error. This was super frustrating because it showed that they weren't listening in the first place but I agreed.

    In the meeting, there was another ANT support and did provide a couple of solutions:

    • Solution #1
      • Create a new security role > apply a new duty > only one privilege
        • The privilege: Inquire into all purchase requisition
        •  

    NOTE: Inquire into all purchase requisitions privilege will enable to see ALL PURCHASE REQUISITION

    • Assign the user this custom security role
    • CNF > Procurement and sourcing > All purchase requisitions
      • Filter to the user's PR you want to share in the preparer column.
      • Select the dropdown arrow in the Standard view > Save as

    • Name this view to user's purchase requisition > leave all defaults > Save
      • you should now see this custom view in the dropdown menu

    • Next CNF> System administration > Setup > Personalization > filter View name and Select > Export
      • this will download a file

    • Next still on Personalization > Import Views dropdown menu > User views > default is Select specific users > Browse > Select the downloaded file > Next

    • Next filter the User ID column to the employee who needs to see Douglas Reynhom's PR > save

     

    NOTE: if you search Personalization > Personal Views > View name of what you just created, you will see two of them and the owners will be you as admin and the employee you just assigned it to.

    This completes the process on the admin side, The last part is working with the employee.

    • Employee logs on to CNF > Procurement and sourcing > All purchase requisitions
      • NOTE - Standard view > All purchase requisitions will show all purchase requisitions
    • Select the dropdown menu from the Standard view > you will notice the personalized view

    • Select the ellipses > Pin as default

     

    So the next time this employee selects All purchase requisitions, they would only see that needed view.

    • Solution #2
      • Anthology customization in CNF
        • Development department will be involved
        • Customization = $$$$

     

    I presented this to management with the following outcome:

    • Solution #1
      • Pro > free > workaround
      • Con > they can still access ALL PURCHASE REQUISITION which defeats it's purpose
    • Solution #2 
      • Pro > custom D365FO
      • Con > Cost

    Decision > these two solutions will not work.

    Our solution:

    Employee #1 needs access to Employee #2's purchase requisitions > submit IT ticket > If management approves > as CNF admins, we filter Employee #2's PR > export to excel > email them > close ticket.

    It seems like a simple request and would imagine that Microsoft D365FO would have this kind of feature so for some odd strange un-natural phenomenon, Microsoft does not have this feature, maybe they will or Anthology can add it to their wish list enhancements (btw, this is list is super long).

    So hopefully this information will be useful in dealing with Anthology Finance/D365FO.

    I was playing around with the Purchase requisition permissions, thinking this might be a solution but nothing worked. You would imagine that it's a simple feature but maybe I'm not understanding what the purpose of this function is.

    Can you tell what exact role you assigned to the user and what form you open where you expect to see PRs from past workers? When I did setup the requesters and preparers, using the form 'All purchase requisitions' the PRs were visible from other preparers.

    I have been trying to play around with the following:

    • creating a new security role
    • creating a new duty
    • creating a new privilege
       

    I spent hours trying different privileges but no progress. I submitted a ticket with Anthology (our ERP product we are using) but I feel that they are not listening and urging me to resolve the ticket. 

     

    Maybe just maybe, I am pondering that maybe I'm in not in the right area. 

    If Employee #1 has a bunch of PR (purchase requisition) whether they are closed, rejected, active or pending but leave that position and Employee #2 take over but needs to see Employee #1's PR, maybe there could be something be done on the PR?

    Like select Employee #1's PR, place in Employee #2's queue?

    The reasoning is that when Employee #2, accesses CNF > procurement and sourcing > Purchase requisition. 

    the options is:

    - Purchase requisitions assigned to me
    - Purchase requisitions assigned to my queues

    That's why I think it might be something to do with the PR.

    Hi,
    It seems that you have a problem with assigning purchase requisition permissions and there are no out-of-the-box roles. If the standard procedure for assigning permissions is not working, you may need to consider creating a new security role to address this specific requirement. If you want to create a new role, I think you have to determine the specific actions and data access levels required for users to view other users' purchase requisitions. This may involve accessing the “Purchasing requisitions” module, viewing requisition details, but not being able to edit or modify them.
